The Administrator - Legal Support Services is responsible for overall management of the activities of the legal support staff and administrative operations of the Office of Legal Counsel, including, but not limited to, the reception area, mail, purchasing requests, litigation support and technology, budget, payroll, outside counsel contracting and invoicing, legal records management, and facilities. Reporting to the Chief Legal Officer, the Administrator - Legal Support Services is also responsible for directing and coordinating office services and related activities, including developing and implementing special projects related to the maximum utilization of administrative services and equipment.
Essential Functions
- Supervises and coordinates overall administrative activities of the legal support staff.
- Supervises the maintenance and alteration of office areas, technology, and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Manages the negotiation and the purchase of office supplies and furniture, technology, case management and other legal support software and platforms, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Manages the office to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Coordinates legal support for responses to subpoenas, custody, and other school-based requests for legal advice and counsel.
- Oversees and supports office use of case management, e-discovery, and other legal support software and platforms.
- Supervises intake of complaints, preparation for legal filings, scheduling of deposition and investigative interviews, and service of legal documents.
- Supervises the maintenance and upkeep of office technology and equipment, including laptops, copiers, scanners, etc.
- Manages the day-to-day operations of the facility (such as recycling, changing light bulbs, heat problems, water problems, general repairs in the department, cube problems, etc.)
- Manages attendance records and payroll for Office of Legal Counsel personnel, as well as hiring processes.
- Monitors and manages contracting with and payments to vendors and consultants, including, but not limited to, outside counsel and litigation support and technology vendors.
- Manages legal records, including electronic and paper documents, for the Office of Legal Counsel.
- Provides support to the Chief Legal Officer on scheduling; budget development, monitoring, and oversight; logistics; and project management.
- Utilizes resources appropriately to complete work in the most efficient manner; proactively communicates the status of work; participates and contributes fully as a team member; and exercises sound judgment and decision-making skills to resolve sensitive matters.
- Maintains confidential and sensitive information.

Desired Qualifications
- A Bachelor's Degree or an Associate's degree in Paralegal studies, Legal Secretarial studies, or a related field of study from an accredited college or university, as well as at least five years of experience in an office handing legal, financial, or other complex transactions.
- Eight years of administrative secretarial experience preferred, including handling sensitive or confidential matters and preparing reports, correspondence and legal documents for senior or executive management.
- Knowledge of principles and practices of organization, planning, records management, and general office management required.
- Excellent organizational, interpersonal, oral and written communication skills.
- Proficient skill in the use of technical computer applications, including electronic databases, case management systems, and Microsoft Office, including Word, PowerPoint, and Excel.
- Ability to supervise and/or manage office operations and support staff.
- Ability to compile and summarize data and information; Ability to prepare reports.
- Ability to handle sensitive and confidential matters with discretion and diplomacy.
- Ability to exercise independent judgement.
- Knowledge of legal procedures and terminology, and the ability to understand and explain laws, rules, regulations, and procedures.
- Skill in research, presenting, and explaining policies and procedures, assembling data, preparing complex reports, and formulating and presenting recommendations.
- Ability to deal with the public with tact, understanding, fairness, good judgement, and integrity.
