Overview

The US Oncology Network is looking for an Executive Assistant to join our team at Texas Oncology. This full-time position will support an Executive Oncologist at our 6204 Balcones location in Austin, Texas. This is a Hybrid Monday through Friday, 8:00a - 5:00p with no weekends or major holidays!

Responsibilities

The essential duties and responsibilities (including but not limited to):

Administrative Support:

    • Performs a variety of administrative duties in particularly in support of executive oncologist.
    • Manage the distinguished oncologist's corporate administrative calendar, scheduling appointments, meetings, public speaking engagements, travel arrangements, and other business activities in accordance with the company guidelines.
    • Composes, prepares, and proofreads correspondence, presentations, and other documents, when required, on computer and maintains confidentiality as required.
    • Handle incoming and outgoing communications, ensuring timely and accurate responses within requested timeframes.
    • Handles routine inquiries for information. For more complex requests, routes query to appropriate individual.
    • Deals discreetly with sensitive or confidential information. Follows established procedures to ensure the security of corporate executive's records and documents.
    • Acts as a liaison with staff, physicians, and building management to resolve problems related to facilities maintenance (when required).

Clinical Coordination:

    • Coordinate with clinical practice manager to ensure the corporate administrative calendar does not conflict with clinic schedule (patient scheduling).

Board and Educational Activities:

    • Support board arrangement with organization of calendar coordination, travel, and expenses in accordance with the company guidelines.
    • Coordinate lecture scheduling for medical instruction sessions when requested.

Event and Speaking Engagements:

    • Arrange travel itineraries, accommodations, and transportation for accepted speaking events.
    • Opportunities to assist in the preparation of presentation materials when needed.

Project Management:

    • Assist with special projects and initiatives as directed by the executive oncologist.

General Office Management:

    • Welcome and assist visitors in a professional and friendly manner whenever (if ever) in the clinic.

Qualifications

The ideal candidate for the Administrative Assistant position will have the following background and experience:

Level 1

  • Associate's degree in business, office administration, or secretarial program required.
  • Minimum of three years of office administration experience.

Level Sr (in addition to level 1 requirements)

  • Minimum of five years of office administration experience.
  • Typing speed of 55+ WPM
