Main Purpose of Job: The Senior Specialist Leave Management is a subject matter expert on all types of leaves and will play a critical role in handling all Leave Management escalations, as well as ensuring all team members are trained and up to date with current leave policies, practices, and procedures. This position is responsible for being the point person for team questions and complex escalations related to the end to end leave process and applicable policies, employee benefits during LOA, and requests from HRBPs and/or the Third-Party Administrators. Leave plans and policies include, but are not limited to, Short Term Disability (STD), Family Medical Leave Act (FMLA), Military (USERRA), Workers Compensation (WC-FMLA), Employer Sponsor paid and unpaid LOAs, Administration of Accommodation requests and State Leave laws across all Operating Companies throughout the US. This position is also responsible for knowing details regarding the Leave Management interfaces and data, and will support all Leave Management projects, including acquisitions and divestitures. Primary Responsibilities:
- Act as the point person for questions and complex escalations from the leave team and provide guidance on established processes. Assist leave team as needed with HRBP meetings or communications related. Escalate concerns and trends to Leave Management Manager for continuous improvement.
- Provide feedback and training to ensure leave policies, practices, and procedures are followed by leave team, including ongoing updates and process changes.
- Monitor ongoing State Paid Leave additions and changes and ensure coordination with Sedgwick as leaves are enacted or updated. Review, update, or develop internal processes, communications, and documentation related to the same.
- Review and revise leave policies to ensure proper compliance and administration.
- Communicate with parties within and outside of own job function, which may include internal stakeholders and external vendors.
- Perform leave administration activities to include but not limited to preparing Company correspondence, file updates and maintenance, and document review, analysis, and management.
- Perform investigations and audits as needed to review compliance with EEO/AA/OFCC or Federal/State paid leave as related to leave management practices.
- Monitor and provide feedback on Third-Party Administrator's (TPA) end-to-end leave process, related to process inconsistencies, errors, pay issues, service issues, and customer experience. Share with leave team and TPA to drive continuous process improvement.
Qualifications / Certifications:
- Bachelor's (BA or BS) in Business, HRIS, Human Resources, or related field
- Minimum of 5 years of direct work-related experience in Leave Administration required, preferably accompanied by an understanding of payroll and STD/paid leave
- Minimum of 3 years of experience handling and resolving complex escalations
- Knowledge of federal and state laws regarding ADAAA, FMLA, Military, and company leave policies for Parental, Personal, Sabbatical, and WC leaves required
- Full understanding of STD and LTD plan designs preferred
- Benefit administration knowledge related to leave preferred
- Experience with SAP and Kronos timekeeping system preferred
- Highly proficient in Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint required
