The Real Estate & Facility Administrator support the Real Estate & Facility team in managing day-to-day operations of Sony Music's Headquarters in New York, while also assisting in global lease and real estate management. Additionally, collaborate with the IT Asset Management team to maintain accurate inventory and ensure compliance across the organization.
What you'll do:
- Assist with the administration of US leases and subleases including disbursement of rent payments, collection of sub-lease income, analysis of annual real estate and operating expenses escalations.
- Maintain global real estate location database including cost analysis, plus manage leasing of new or renewed properties as needed
- Maintenance and configuration of the global desk reservation and facility management tool, preparation and analysis of workplace statistics as required
- Keep internal real estate reports updated, Ad hoc analysis on real estate holdings.
- IT Asset Management - Receive and action routine & complex work requests such as bulk orders, non-standard equipment requests. Execute inventory maintenance and control, asset assignment, asset and/or data retention, asset reclamation, asset retirement and decommission, asset refurbishment and asset disposal. Responsible for the execution of normal operations of the asset management life cycle (i.e. recording assets received by the organization and tracking location and users from purchase to disposal).
- New York Site - Responsible for assisting facility & audio-visual team in day-to-day requests which may include small moves, vendor coordination, event setup, and ad-hoc facility needs
Who you are:
- Undergraduate degree in Business Administration or equivalent field
- 1 - 2 years' experience in facilities, real estate management, info tech, or related field
- Familiar with aspects with good facility management practices, ability to read and understand real estate leases
- Independent problem solver, strong sense of urgency and bias for taking action
- Flexible, ability to manage and prioritize multiple tasks in a fast-paced environment
- Familiarity with iOffice, Freshservice, CoStar, and Basware software preferred, or similar systems, but not required.
- Efficiency in Microsoft Excel, Word, and PowerPoint required
- Ability to identify basic problems and procedural irregularities and timely escalate to the appropriate person
- An excellent communicator and enthusiastic collaborator who works well with team members, external partners, and senior management
