Job Summary: Reporting to the Vice President of Finance/CFO, the Coordinator, Office of Finance functions as the key coordinator support person in the management, coordination, and implementation of the operations of the Office of Finance; responsible for interacting on behalf of the Office of Finance and to foster productive relationships among key personnel and departments. Minimum Qualifications: Associate's Degree and 3 years experience.*or a combination of experience and education sufficient to successfully perform the essential duties of the job. - Complete a wide range of administrative tasks including managing the CFO's calendar, travel arrangements, booking professional development activities, preparing expense reports, composing and preparing correspondence, editing presentations, compiling documents for meetings and reviewing legal bills to ensure accuracy and submit for processing. - (Essential)
- Communicate with external and internal stakeholders, contacts and employees on behalf of the CFO ; work closely and effectively with the CFO to keep CFO well informed of upcoming commitments, deadlines and responsibilities - (Essential)
- Track and file, both electronically and hard copy, legal documentation, contracts and agreements; complete research projects as required; analyze and assemble data for report preparation; assist the CFO in risk management and other related initiatives; update monthly Facebook audit for College bookstores. - (Essential)
- Coordinate the Board of Trustees' Finance Committee meetings including the preparation of resolutions, agendas, meeting packets and taking minutes; oversees meeting logistics; post documents to the Finance and Shared Governance portals ; coordinate team and department meetings. - (Essential)
- Assist with the development, coordination, tracking and submission of strategic plan goals, objectives and outcomes assigned to the CFO ; assist in the strategic planning reserve funding process. - (Essential)
- Coordinate, monitor and track all contracts, grants, leases, real estate and property acquisition and/or sale documents, and other appropriate documents for review by the director of procurement in preparation for approval by the CFO; work with procurement, when necessary, in the preparation of bids and proposals. - (Essential)
- Coordination of annual budget summary narrative; compliance and filing deadline calendar; signature/authorizations for the Office of Finance; state and government site renewals/filings; Office of College Advancement communication responses. - (Essential)
- Coordination of Office of Finance originated contracts; including collecting and organizing all final/signed agreements; proactively tackling renewals in advance. - (Essential)
- Cross-train with and provide backup for Admin Office Specialist, Finance position, including but not limited to coverage during absences. - (Essential)
