The Role: The Program Coordinator role supports strategic initiative program managers and oversees administrative activities of strategic programs. Responsibilities include support of program planning, initiation, execution, and delivery of strategic programs. The Program Coordinator manages program administration, program management support, program milestone tracking, meeting coordination and status reporting. The Program Coordinator will manage day-to-day administrative tasks, monitor program deliverables and report on progress to ensure program delivers on strategic objectives and provides transparency to leaders and organization. Responsibilities:
- Support Program Manager responsibilities and manage day-to-day administrative aspects of strategic programs.
- Support program planning efforts including program design, scope definition and requirements, business case, KPIs/success criteria, risks/issues, and processes and documentation.
- Develop and maintain program artifacts, including program work plan, scope, requirements, status reports, and leadership updates.
- Coordinate and communicate with business, technology, shared services, and third-party program resources.
- Consult with program manager and sponsors to strategize, plan and design program structure and required resources.
- Create documentation for business processes and proposals to gain leadership decisions.
- Schedule and organize meetings, prepare agendas, created meeting minutes, and assign/manage action items and follow-ups.
- Support planning and facilitation of regular programs meetings, including workstream updates, program planning, onsite workshops, and leadership updates.
- Create and maintain program plan for Program Manager, identifying key deliverables and milestones across workstreams and managing progress updates with leads.
- Ensure program has consistent visibility into progress of each Workstream (via weekly check-ins or other mediums).
- Maintain risk/issue and decision log for Program Manager to escalate to leadership as needed.
- Create and maintain project team roster and program RACI.
- Effectively communicate program status and risk/issues to Program Manager, workstream leads, and stakeholders in a timely and clear fashion.
- Assist Program Manager to manage priorities and understand areas to influence team, with goal to ensure key deliverables are on track for delivery.
- Provide support to Program Manager to ensure program transparency and efficient communication.
- Analyze program data and documentation and prepare performance reports as required.
- Support and maintain Strategic Initiatives collaboration site and ensure program artifacts are complete, current, and stored appropriately.
- Provide support to Strategic Initiatives leader for planning, transparency, and communication across organization.
- Create and maintain team tools and templates in support of program success and efficiency.
- Effectively apply appropriate project management methodology and enforce project management standards across programs and workstreams.
Minimm Requirments:
- Four-year bachelor college degree or project management experience preferred.
- 3+ years' experience in facilitating, supporting and/or managing small to large projects with cross-functional resources.
- 3+ years' firsthand experience with developing complex plans comprising of multiple teams and resources including functional use of dependencies, resources, budgets, and reporting.
- 3+ years' experience in recognizing, measuring and mitigating project risks with appropriate communication and escalation plans.
Preferred:
- Ability to work independently with specific checkpoints as needed.
- Ability to successfully engage in multiple programs and take direction from multiple program managers simultaneously.
- Excellent work discipline, time management, organization, and analytical skills.
- Understanding and familiarity with applications like PowerPoint, Word, Excel, Visio, SharePoint, Teams, Outlook.
- Ability to create/maintain program metrics and manage customer expectations on frequent basis including project schedules, scope management, risks/issues, and status reports through lifecycle of program.
- Excellent verbal and written communication/presentation skills required with a strong focus on customer interaction, customer service, and presentation.
- Ability to effectively communicate and interact with cross-functional resources and varying levels of leadership.
- A motivated self-starter with capability to operate on their own with little direction and/or monitoring along with an enterprise vision - ability to see big picture and relate to corporate strategy.
- Ability to thrive in a fast-paced, detail-oriented environment.
- Capability to help deliver quality business solutions within restricted timelines while appropriately communicating/escalating risks, issues, or constraints as necessary to business management.
- Ability to elicit cooperation from a wide variety of sources, including upper management, business partners, and other departments.
- Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.
- Ability to read communication styles of team members, business partners, and contractors who come from a broad spectrum of disciplines and be able to change delivery of communication accordingly.
