Department Information
The Student and Campus Event Centers at the Georgia Institute of Technology are dedicated to enhancing the student experience by providing a wide range of programs, services, and facilities. Our mission is to foster a vibrant campus community through the coordination and support of student activities, leadership development, and event management.

We oversee the co-curricular and extra-curricular activities for all students and other campus constituents, managing the operation of programming spaces and advising programming board committees. Our team interacts with students, student leaders, student employees, registered student organizations, fellow staff members across campus, faculty, and external clients in the Atlanta community.
Key components of our department include:

  • Student Leadership Development: We advise students in planning large-scale social, educational, traditions, and stress-relief programs through the student event programming board.
  • Event Management: Our staff advises student event planners through one-on-one meetings, committee meetings, and on-site event execution.
  • Collaboration and Engagement: We promote interactions between faculty and students, foster collaboration among students, enhance campus and civic engagement, and ease both the academic and social transition to college.

Job Summary

The Event Reservation Coordinator will coordinate, and review events used in general campus spaces, including reserving spaces for internal and external requesters. Serve as chair of an Events Logistics Committee. This position will interact on a regular basis with unit co-workers, other operations staff, departmental personnel, faculty, students, staff, and guests. This position typically will advise and counsel: students, departmental and external event sponsors. This position will supervise: NA

Responsibilities

Job Duty 1 -
Conduct event scheduling for general campus indoor and outdoor spaces. Confer with event sponsors of outdoor and external events to determine scope and overall objectives associated with an event as needed. Ensure use is compliant with institutional policies and reserve space for events. Consult with Campus Space staff as needed for event review

Job Duty 2 -
Serve as chair of an Event Logistics Committee for event request review and approval; convene meetings, prepare agendas, document discussions and disseminate minutes and action items

Job Duty 3 -
Maintain online documentation of the processes and policies, including checklists and frequently asked questions

Job Duty 4 -
Provide regular updates to senior managers on upcoming events

Job Duty 5 -
Continuously improve the general space request review process, seeking, testing and incorporating process improvements and measuring customer satisfaction

Job Duty 6 -
Conduct follow-up to determine adequacy of services provided in support of event. Utilize this information to improve processes

Job Duty 7 -
Hire, train, and supervise a team of student employees

Job Duty 8 -
Responsible for identifying prospective customers and generating revenue

Job Duty 9 -
Perform other job-related duties as assigned

Required Qualifications

Educational Requirements
Bachelor's Degree or an equivalent combination of education and experience

Other Required Qualifications
Valid State of Georgia Drivers License; experience in event coordination and/or space reservation/management; must demonstrate experience with process mapping and process improvement efforts with the voice of the customer activities; experience in leading a multi-functional committee

Required Experience
One to two years of job-related experience

o This job requires working knowledge and skills in event management and holding/coordinating

distributing meeting notes.
o Experience in event coordination and/or space reservation/management; must demonstrate
experience with process mapping and process improvement efforts with the voice of the customer
activities; experience in leading a multi-functional committee
o Skills using event management software (EMS or 25 Live)
