Summary

This position will be responsible for assisting and supporting the line of business to achieve corporate goals and objectives. Reviews, analyzes, and evaluates business processes. Implement procedures that will improve day-to-day operations. Ensure work environments are adequate and safe. Oversees department operations, ensuring each is reaching defined goals.

This Director tactically oversees and manages their respective operations teams in collaboration with peers and executive leaders and is responsible for daily production, staffing to meet client forecasting, efficient and effective process flows, leadership, staff development and leveraging of technology within the line of business.

Essential Functions

  • Hire, train, motivate and coach employees as they provide attentive, efficient services to clients and colleagues, assess employee performance, and provide helpful feedback and training opportunities.
  • Collaborate with senior managers in the development of performance goals and long-term operational plans.
  • Motivate with a positive approach and mentor department managers to enhance the overall morale of their teams.
  • Establish and review Production Statistics and KPI Metrics for all areas of the department. Ensure that all managers have clearly defined Production Statistics and KPI Metrics for their Team Members.
  • Develop, implement, and monitor day-to-day operational systems and processes to provide visibility into the goals, progress, and obstacles of key initiatives.
  • Analyze operations to evaluate performance and its staff in meeting objectives, and to determine areas of potential cost reduction, program improvement, or policy change.
  • Ensure procedures and routing forms are written and are up to date for all processes in the department.
  • Collaborate with department leaders across the organization, and external vendors and clients as appropriate to discuss issues, develop strategy, coordinate activities, and resolve problems.
  • Direct, plan, and implement policies, objectives, and activities to ensure continuing operations, to maximize returns on investments, and to increase productivity.
  • Review and understand the impact, risk and exposure of contracts and agreements with suppliers, distributors, federal and state agencies, and other organizational entities.
  • Review, recommend, or change reports submitted by staff members. Follow through with the Operations Reporting Unit to make sure all reporting needs are met.
  • Escalate, consult, and communicate effectively with senior management.
  • Adhere to the company's policies and standards and ensure that laws and regulations are being followed.
  • Work closely with Human Resources to lead the team with integrity and to establish and maintain a trusting, inclusive, and productive environment.
  • Perform other related duties as assigned.

Essential Knowledge, Skills, & Abilities

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Understanding and knowledge of Project Management tools such as Gantt Charts & project management timelines.
  • Chart Interpretation: Be able to read and understand Gantt charts, including task dependencies, milestones, and progress tracking.
  • Timeline Management: Know how to create a timeline that breaks down the project into smaller, manageable tasks and displays them in a chronological order.
  • Advanced knowledge of Microsoft Office Suite, including Word, Excel and PowerPoint.
  • Pivot Tables: Master pivot tables to summarize large datasets quickly and easily. Know how to group data, calculate subtotals, and apply filters.
  • Pivot Charts: Link pivot tables with charts to visualize data trends and comparisons.
  • Data Analysis Toolpak: Learn how to use tools like the Analysis Toolpak for advanced statistical analysis.
  • Advance Formulas Knowledge such as look up functions, If statements & array formulas.
  • Data entry and Management knowledge such as data validation, text function, sorting, filtering & conditional formatting.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize multiple objectives to meet client deadlines and department goals.
  • Strong management and leadership skills.
  • Commitment and ability to cultivate a diverse and inclusive work environment.

Education

  • High School Diploma or equivalent.
  • Bachelor's degree in business administration or related field preferred.

Experience

  • 5+ years' experience in title, mortgage, or financial industry required.
  • 3+ years' experience managing a team.

Working Conditions

Work is performed in a climate controlled indoor administrative office setting. The noise level in the work environment is usually quiet to moderate, depending upon the office or meeting location.

Physical Demands and Activities

While performing the duties of this job, the employee is frequently required to communicate. The employee frequently is required to remain stationary. The employee is frequently required to move about the office, operate a computer and other office machinery, such as calculator, copy machine, and computer printer; rarely position self to maintain files; rarely moves boxes weighing up to 10 lbs. Close and distance observation required with ability to observe objects at close range in presence of glare or bright lighting (e.g., computer screen). Must possess the ability to communicate information and ideas so others will understand and have the ability to interact with external and internal stakeholders.
