GENERAL DESCRIPTION / PRIMARY PURPOSE:

The Human Resources Assistant's primary focus is to provide customer service to employees and staff, managing the constant day-to-day transactional and administrative responsibilities, and general clerical support for the Human Resources Department. This position is responsible for maintaining personnel, benefits, payroll, training, and SQF files for each employee as well as terminated employees while maintaining a high level of professionalism and confidentiality.

MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION:

* Reporting to the Human Resources Supervisor, this role assists with and performs the more routine Human Resources (HR) duties in the areas of policy interpretation, training, on-boarding, and off-boarding, data management, employment law compliance, and benefits and leave administration.
* Responsible for ensuring all documentation is accurately filed, processed, and requests for services are met in a timely manner, i.e. hiring, job postings and informational requests from outside agencies.
* This individual will be responsible for data entry.
* Assisting with or conducting New Hire Orientation.
* Acting as a point of contact for incoming inquiries, issues, and requests from employees and managers and escalating to higher level HR staff as needed.
* Assist the Recruiter with non-exempt job bids, interview and selection process as needed. Helps to ensure that the selection process is effective in selecting candidates who meet the company's standards.
* Managing and performing tasks associated with the processes of the full employment lifecycle such as leading New Hire and Benefits Orientation and works closely with the HR Supervisor and Recruiter to ensure onboarding of Dole hires is timely and that all new hires complete the necessary testing and screenings as well as all necessary new hire paperwork.
* Liaising and collaborating with internal partners including Payroll, Benefits, HRIS, and Safety to ensure resolution of day-to-day employee issues or redirect to appropriate contacts.
* May assist in generating regular ad hoc reports as needed.
* Payroll administration including timesheet corrections and audits, pay adjustments and corrections.
* Assist with administering HR-related processes.
* Assist with intake of initial employee relation statement and forward to appropriate HR member.
* Creating and managing employee files, manages the I-9 verification process and audit data.
* Responsible for 100% accuracy in the tracking of hourly attendance ensuring accuracy in the tracking of records.
* Maintain or assist in maintaining EEO/Affirmative Action Plan database.
* Oversee, assist, and/or conduct annual required refresher / compliance training which may include but not be limited to SQF, Code of Conduct, Workplace Violence, Sexual Harassment, Personal Safety.
* Works closely with the HR Supervisor and HR Generalist to drive employee recognition and rewards programs.
* Ensures required Company and personal employee information is entered, revised, and maintained current in the HRIS system. Process daily transactions in HRIS such as termination, leaves of absences, and promotions.
* Work with minimal supervision on HR projects with regards to employee engagement and retention initiatives.
* Manages the badge access, assigns locker access, and conducts required SQF locker clean outs on a quarterly basis.
* Ensures regulatory information is processed timely and maintained in accordance with Dole, and local, state, and federal requirements.
* Follow all Food Safety Requirements and GMPs as applicable to position.
* Ensure the integrity and continued operation of the food safety system in the event of organizational or personnel changes within the company or associated facilities
* Support special projects and other duties as assigned.
Required Skills

JOB SPECIFIC COMPETENCIES:

* Required: 1-2 years minimum in a Human Resources administrative position; preferably in Manufacturing Plant environment.
* Preferred: 3 years minimum in a Human Resources administrative position, preferably in Manufacturing Plant environment.
* Ability to work in a fast-paced office environment.
* High level of discretion, sound judgement and ability to maintain confidentiality.
* Ability to take initiative, complete tasks and ability to propose process improvements.
* Detail-oriented with employee requests, auditing, file management and performing data entry.
* Exceptional customer service and communication skills (both verbal and written) and enjoy working with and for our employees.
* Strong problem-solving skills
* Flexible, adaptable, and resilient in our current changing environment
* Ability to prioritize and manage multiple tasks concurrently; ability to maintain positive working relationships.
* Proficiency in Microsoft Office, time keeping systems, and HRIS.
* Experience handling labor relations issues and disputes in a formal setting.
* Ability to balance the needs of the employees with the needs of the business.
* Excellent multi-tasking skills.
* Strong verbal and written communications skills emphasizing teaching ability with large groups.
* Must have the ability to be punctual, follow direction, maintain confidentiality, interact well with co-workers, understand and follow posted work rules/procedures and accept constructive criticism.
* Ability to communicate with a broad range of the workforce, allowing for flexible and appropriate communication with various levels of employees.
* Bi-lingual skills specific to the location's workforce needs - both oral and written a must.
o Bi-lingual/Bi-literate in English and Spanish (Required).

PHYSICAL REQUIREMENTS:

* Work is performed in a typical office environment. While performing the duties of this job, the employee is regularly required to sit, stand, walk, use hands and fingers, handle or feel objects, tools, or controls, talk or hear to communicate, as well as maneuver around an array of equipment, bend, stoop and climb stairs. The employee must occasionally lift (including overhead) and/or up to 15lbs.
* There may be situations where it will be required to be present on the Plant floor where the environment is 34 degrees, the ambient air has the presence of fumes, the floors and surfaces are wet, there is the use of industrial equipment and moving machinery, and the use and wearing of PPE is required.

WORK HOUR & TRAVEL REQUIREMENTS:

* Typical "office hours" is the standard expectation with the ability to work a limited amount of overtime, weekends, and off-hours accessible to plant shifts.

EXPERIENCE & EDUCATION:

* High School Diploma required.
* Previous HR Experience or college level course work in Human Resources, Business or related fields preferred.
* PHR certification preferred.

PAY RATE:



  • $23.50 - $24.50 Hourly
