Overview
The One Utah Service Fellowship (OUSF) Program Assistant (Program Assistant III) will assist with the management of the One Utah Service Fellowship Program and the AmeriCorps grant. This position works under the direction of the OUSF Program Director. This will be an in-office position with a hybrid option available after 120 days of employment. Periodic travel to host partner sites is required. This is a permanent position that is contingent on continued grant and state-appropriated funding.

The One Utah Service Fellowship (OUSF) project aims to address Utah's critical needs while improving the preparation for and prospects of success in post-secondary education or training for young adults (18+) by providing meaningful service opportunities (100-1,700 hours) in Healthy Futures, Education, and Capacity Building.

This position is eligible for hybrid work within the state of Utah.

Responsibilities
Responsibility Number: 1 Rank: 1 Percent: 75%

Assists OUSF Director in the administration of compliance with the OUSF Program and AmeriCorps grant.

Ensure that the One Utah Service Fellowship program operates in compliance with federal, state, and local regulations, including labor laws, grant requirements, and non-profit standards.
Oversee the completion and submission of all necessary documentation, including reports, background checks, and other compliance-related materials.
Develop and update policies and procedures to ensure compliance with all relevant regulations and guidelines.
Conduct regular audits to assess program compliance, identify areas for improvement, and ensure corrective actions are taken when necessary.
Provide training and support to program staff and fellows on compliance-related issues, including safety, confidentiality, and reporting.
Work closely with the Program Director to address any compliance concerns that may arise during the course of the fellowship
Designs and maintains processes and procedures, including member orientation, training, and member development.
Respond to regional program coordinators, site supervisors, and members' general emails in the OUSF email.
Complies, sorts, and organizes data for entry into a database, distributes program information, and conducts program research.
Oversee the completion and submission of all necessary documentation, including reports, background checks, and other compliance-related materials.
Provide training and support to program staff and fellows on compliance-related issues, including safety, confidentiality, and reporting.
Work closely with the Program Director to address any compliance concerns that may arise during the course of the fellowship.

Responsibility Number: 2 Rank: 2 Percent: 25%

Assists OUSF Director in the continuous improvement, sustainability, and planning of the program.

May maintain and create content for the program website.
Writes, edits, and coordinates development of promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the program.
Assists with program planning and implementation.
Provide support and assistance, as needed, to the OUSF Director.

Qualifications
Minimum Qualifications:
  • Four years of experience; or an associate degree/technical training plus two years of experience; or equivalent combination of education and experience.
  • Job offer is contingent upon the successful completion of a background check.

Preferred Qualifications:
  • Knowledge of AmeriCorps member program management preferred.
  • Associate's or Bachelor's Degree
  • National Service Alumni

Knowledge, Skills, & Abilities:
  • Strong interpersonal, relationship-building, and partnership-building skills.
  • Advanced organizational skills and ability to use multiple data tracking/reporting systems.
  • Strong oral and written communication skills.
  • Program leadership and development experience.
  • Knowledge of AmeriCorps/National Service, community volunteerism, non-profit organizations, K-12 Education, and Higher Education desired.
