Warm Welcome: Professionally greet and welcome patients and their friends or family, ensuring a comforting and supportive atmosphere from the moment they arrive. Efficient Registration and Scheduling: Manage patient registration and appointment scheduling with precision and efficiency, optimizing the patient flow and minimizing wait times. Effective Communication: Answer, screen, and direct all incoming calls to the appropriate personnel, skillfully relaying messages between patients and clinical staff to ensure clear and timely communication. Responsibilities
Essential Duties and Responsibilities:
Welcoming Presence: Warmly greet patients and visitors upon arrival at the clinic, ensuring a prompt, courteous, and professional experience. Efficiently check in patients and notify clinical staff of their arrival. Patient Paperwork Management: Provide and clearly explain necessary paperwork for patients to complete prior to their examination. Diligently collect, review for accuracy, and file patient forms. Update demographic and insurance information in the system, and handle co-payments and balances, providing receipts. Effective Communication: Skillfully answer, screen, and address routine inquiries, directing them to the appropriate personnel or taking detailed messages. Page clinic personnel as needed and communicate messages accurately and promptly as per procedures. Appointment Coordination: Facilitate patient check-out post-examination, scheduling follow-up appointments in line with physician and office guidelines. Offer patients comprehensive appointment details including time, location, directions, instruction sheets, and other pertinent information. Scheduling Management: Record patient cancellations and missed appointments, promptly rescheduling as necessary. Inform relevant staff of cancellations and update patient charts accordingly. Administrative Support: Provide general administrative assistance by filing charts and forms. Maintain a clean and organized lobby area, ensuring a sufficient supply of forms and office supplies for daily operations. Confidentiality and Compliance: Uphold strict adherence to confidentiality, as well as state, federal, and HIPAA regulations regarding patient records. Additional Responsibilities: Perform other duties as requested or assigned, which may include typing memos and forms.
Qualifications
Minimum Qualifications:
Educational Requirement: High school diploma or equivalent is required. Experience: Some receptionist or office experience is preferred. Technical Proficiency: Demonstrated proficiency with computer systems and Microsoft applications (Outlook, Word, and Excel) is required. Successful completion of required e-learning courses within 90 days of starting the position. Adaptability: Confidently handle day-to-day work challenges, exhibiting flexibility and the ability to adjust to multiple demands and shifting priorities. WORK ENVIRONMENT: The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations and other conditions common to an oncology/hematology clinic environment. Work will involve in-person interaction with co-workers and management and/or clients. Work may require minimal travel by automobile to office sites.
