All about the role: The Leaves and Accommodations Specialist is responsible for managing the overall administration and workflows for the Electrolux LOA and accommodation programs. This role will lead efforts in defining the Company's leave and accommodation support strategy, aligning with company policies, and implementing programs to meet the needs of the organization. The Leaves and Accommodations Specialist serves as the main liaison to third-party leave of absence and disability partners and oversees vendor support to ensure proper plan set up and administration. What you'll do:
- Responsible for the management of employee leaves, including Paid Family Leaves, Short- and Long-Term Disability, Company-provided medical leaves of absence, personal leaves, and other applicable state and federal leave programs.
- Serve as the internal Subject Matter Expert on leaves and accommodations and advise on requirements related to Family and Medical Leave Act (FMLA), Americans with Disabilities Act and Amendments Act (ADAAA), Pregnant Workers' Fairness Act (PWFA) and state leave laws.
- Interact with Third-Party Administrator (TPA) to ensure leave administration, tracking and certification requests are done properly and according to contract requirements.
- Audit TPA leave processes, ensuring compliance with federal, state, and company leave policies.
- Design and deliver training, metrics, reporting and communications to internal business partners and leadership related to leave of absence and accommodation management.
- Act as a liaison between TPA, People Services & Solutions (PS&S) representatives, legal counsel and People Partners to resolve complex payroll and leave escalations, and provide guidance on established processes both during leave and at return-to-work.
- Create and publish process documentation for leave of absence and disability program administration and lead continuous improvement efforts to enhance employee experience and create efficiencies throughout the leave of absence period and leave-end processes.
- Document, coordinate and oversee the American with Disabilities Act (ADA) interactive accommodation request process; engage with People Partners, legal counsel, employees and management to ensure compliance with applicable polices and legal requirements.
- Analyze, review and maintain documentation on state and local leave requirements; partner with HRIS and Total Rewards leadership to ensure compliance and system controls
- Partner with Risk Management and Employee Health & Safety teams to support Workers' Compensation claims and return to work requirements and protocols.
Minimum Qualifications:
- Bachelor's Degree required
- Minimum of four years combined experience in HR or Benefits, with at least two years of leave of absence administration for US organizations
- HR or benefits specific certification (i.e. CEBS, PHR) preferred
Preferred Qualifications:
- Familiarity with local, state, and federal laws and regulations such as Employee Retirement Income Security Act (ERISA), Family and Medical Leave Act (FMLA), Health Insurance Portability and Accountability Act (HIPAA), state and local leave laws
- Proficiency with Microsoft Office applications, specifically Excel, Word, and PowerPoint; experience creating and generating Excel spreadsheets (e.g., V-lookup, graphs, pivot tables, dashboards) and PowerPoint presentations
- Exceptional customer service skills; ability to effectively interface with all levels of the organization and work effectively as part of a team
- Strong verbal and written communication skills
- Ability to accomplish results within a fast-paced, multi-tasking environment
- Unquestionable ethics and integrity and ability to handle sensitive and confidential information with professionalism
