This critical infrastructure complements the Partnership's fuel distribution operations, which serve approximately 10,000 convenience stores, independent dealers, commercial customers, and distributors.

Essential duties and responsibilities:



  • Input and track all inventory movements for the truck rack terminal utilizing TopTech inventory system.
  • Input and track excel spreadsheet daily product variations and validate product variances with outside inspection companies.
  • Provides complete and accurate inventory reports for all Customers in a timely manner.
  • Collect data and create spreadsheets for daily, weekly, and monthly Volumetric Additive Reconciliation Reports.
  • Compile data and complete the Department of Energy Weekly and Monthly EIA reports.
  • Compile data and complete the monthly ExStars (IRS) report for the terminal.
  • Submit and track requisitions and invoices. Track and account for goods and services, and reports anomalies to the Terminal manager. Process invoices in SAP
  • Assist in maintaining monthly and annual terminal budget with forecast changes and tracking with TM.
  • Develop and maintain written procedures, policies, and training materials.
  • Provide general to advanced secretarial, administrative, and office support for Terminal Manager and other site personnel as required.
  • Other duties and tasks are frequently non-routine, and may include the following: arrange and coordinate meetings, appointments, conference calls, travel schedules, reservations, and expense reports; prepare agendas; reserve and prepare facilities; greet visitors; read and route incoming mail; prepare outgoing mail, including e-mail and faxes; make copies; compose and type routine correspondence; compile and type statistical reports; create and maintain spreadsheets; organize and maintain file systems, file correspondence and other records, including files of confidential records; conduct research and provide initial analysis; provide support for routine terminal duties for other site staff and other duties as assigned


Requirements:

Education and/or Experience, Knowledge, Skills & Abilities:

Required Education:



  • High school diploma or general education degree (GED) required.


Required Skills:



  • A minimum of five years' administrative experience and/or data entry experience required.
  • Customer Service experience in a fast paced, high volume work environment preferred.
  • Proficiency in Microsoft Word, Excel, and PowerPoint required.
  • Excellent verbal and written communication skills and critical thinking skills required.
  • Ability to take initiative, organize and prioritize work to meet deadlines in a time sensitive environment required.
  • Ability to maintain the highest standards of confidentiality required.
  • Ability to analyze a situation, troubleshoot to identify the issue and propose a solution. Must be flexible and able to multitask.
  • Must have excellent interpersonal skills and be able to work productively, professionally, and cordially with all levels of employees as well as Customers, contractors, vendors, and visitors.
  • Able to develop collaborative work relationships built on trust, integrity, work ethic and teamwork.


Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.



  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be required.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
