Compensation: $54,132 - $66,950 based on skills and experience

Position Summary

The Administrative Director will provide oversight of administrative functions and resources for the daily operations of the College of Health Professions. They will create, direct and coordinate projects that support daily operations and long-term planning within the College. These include, but are not limited to, leading budget administration and personnel actions, supporting hiring processes, and coordinating internal and external communications. The Administrative Director will serve as a resource for internal and external stakeholders of the College.

Who We Are

Rosalind Franklin University of Medicine and Science (RFUMS) is a six-college graduate health sciences university dedicated to the interprofessional education of health and biomedical professionals. RFUMS is a national leader in interprofessional healthcare education, is a graduate-level health sciences University situated approximately 40 miles north of the city of Chicago and 50 miles south of Milwaukee. The College of Health Professions offers a range degrees and certificates in our on-campus and online programs.

Essential Duties & Responsibilities

  • Manage daily operations, including implementing systems for administration and communication processes and establishing and implementing policies, procedures, and systems for improvements and efficiencies in Dean's Office and College operations.
  • Manage annual operational budget planning, provide day-to-day budget oversight for Dean's office and facilitate and support annual budgeting process for CHP programs as needed including reconciliation of monthly T&E and P-card purchases.
  • Serve as CHP's HR Liaison for all full-time faculty hires and in collaboration with HR, ensure that all HR mandated reporting requirements are followed and that related documentation is accounted for.
  • Manage Dean's office HR processes and assist departments with HR processes as needed.
  • Support Dean and Associate Dean of Admissions in monitoring CHP scholarship funding and collaborate with Finance and Financial Aid to correct any discrepancies.
  • Provide oversight of space management for the College, including identifying needs, developing recommendations, and determining resources and resource allocation.
  • Provide secondary support for the planning and execution of college-wide events such as White Coat, Student Awards Ceremony, Faculty Awards Ceremony, etc.
  • Ensure policies and administrative and clinical handbooks are current.
  • Serve as liaison for the Dean to internal and external stakeholders, including management of Dean's office communications.
  • Serve as operational expert/resource for the CHP programs' Chairs, Faculty and Administrative Staff.
  • Serve as CHP liaison between the Division of Student Success and Wellness, RFU Dean of Students Office, and CHP programs for awards and commencement activities (e.g. route commencement communications and inasmuch as possible verify accuracy of same, track program awards, send Dean's office award letters, etc.).
  • Support CHP Standing Committees and the CHP Leadership Team serving as Dean's office representative, taking minutes, maintaining records and files, and supporting the use of Interfolio for faculty appointment, tenure and promotion.
  • Provide pre- and post-award grant support for CHP faculty.

Required Education & Experience

  • Associate degree or equivalent experience
  • 3-5 years of executive or senior level administrative support

Required Knowledge, Skills, & Abilities

  • Knowledge of office and administrative practices and principles supporting executives at a high level
  • Highly effective written and verbal communication skills
  • Strong customer service skills through actively listening, acknowledging, and responding to every inquiry; taking ownership and resolving each concern as appropriate
  • Demonstrated ability to work as part of a team and to interact effectively and maintain collegial relationships with administration, faculty and staff
  • Flexible, adaptable, and ability to exercise sound judgement
  • Self-starter, self-directed and possesses excellent time management skills
  • Ability to effectively handle multiple projects simultaneously, prioritize responsibilities and handle detailed job tasks with accuracy and efficiency ad on deadline
  • Proven problem-solving skills with ability to develop and implement process improvement plans with a drive for quality outcomes
  • Excellent organizational, planning and analytical skills
  • Proficient use of computer software including spreadsheet and database development
  • Knowledge of budget processes
