MAJOR DUTIES AND RESPONSIBILITIES:



  • Work with group clients to coordinate their visit including entering reservation into ticketing system, sending client confirmations, communicating expectations of their visit, processing payments and upselling unique enhancements opportunities to enhance their visit and drive revenue.
  • Complete internal processes to ensure all group reservations are fulfilled appropriately including checking availability, submitting booking requests to other departments (Guest Services, Cafe and Animal Care Team) and scheduling group enhancements.
  • Answer group inquiry calls and provide superior customer service to best prepare them for their future booking.
  • Assist with sales calls for Specialty Weeks and other calls as needed (both current and prospective clients).
  • Book birthday party packages.
  • Pull reservation numbers and complete weekly spreadsheet for pacing reports.
  • Consignment and third-party client ticket fulfillment.
  • Maintain competitive analysis report.
  • Attend expos and community events representing Newport Aquarium to promote a variety of programs.
  • Assist with events when needed.
  • Communicate regularly and effectively with sales team and other internal departments.
  • Other duties as assigned.


QUALIFICATIONS:



  • Minimum of 1 year of hospitality experience
  • Must be a team player with high level of dedication
  • Ability to multi-task in a fast-paced environment, with focused attention to detail
  • Strong understanding of customer and market dynamics and requirements
  • Previous experience with contact management programs
  • Proficiency in Microsoft Office 365 (including Outlook)
  • Excellent verbal and written communication skills
  • Responsible for proper cash handling and maintaining PCI (Payment Card Industry) compliance


PHYSICAL REQUIREMENTS:



  • Successful completion of criminal background check
  • Physical strength, including the ability to lift up to 25 pounds
