Job Description

The HR Specialist is responsible for coordinating day-to-day HR operational functions. This position provides general front desk coverage including greeting guests, answering, and directing incoming calls, maintaining supplies and reception area appearance as well as mail distribution. This position also provides a variety of administrative duties in support of the Human Resources department and must have the ability to maintain confidentiality and handle sensitive information with discretion. This role is very diverse and requires the ability to multi-task, take independent initiative, properly organize and prioritize in order to meet deadlines while managing competing priorities. This position relies on Human Resources knowledge to assist team member needs, ability to perform a variety of tasks, using personal judgment while working independently with frequent interruptions. Must embrace a strong customer service mentality and function with a high degree of professionalism.

Responsibilities

  • Front office receptionist responsibilities include; handling incoming calls and greeting visitors and guests
  • Manage resource scheduling utilizing Microsoft Outlook calendars (e.g. conference rooms) and ensure they are properly set up for meetings
  • Track office supply inventory and order office supplies, as needed
  • Provide administrative support with various administrative tasks (redirecting calls, timely dissemination of office correspondences).
  • Maintain orderly conference rooms, workrooms, kitchens, and lobby
  • Responds to calls and visits from team members, contingent workers, other visitors including the public at large; determines the urgency of the situation.
  • Deals discreetly with sensitive confidential information contained in departmental minutes, reports, and other documents.
  • Supports various Human Resources projects.
  • Manages the process for all status changes and transfers within Baptist Health Care.
  • Manages the on-boarding process for Workforce Members at Baptist Health Care.
  • Knowledgeable and advises team members and leaders on proper human resource policies and procedures.
  • Ability to handle sensitive information with confidentiality and professionalism.


Qualifications

Work Experience
  • 6 months - customer service and/or administrative experience- Required
  • HR Experience- Preferred

Education
  • High School Diploma or Equivalent - Required
