Job Overview

The University of Cincinnati College-Conservatory of Music (CCM), a nationally prominent comprehensive college for the performing and media arts, is accepting applications for an Associate to the Dean. This position reports directly to the Dean, while maintaining close relationships with other members of the Dean's Leadership Council, the CCM Executive Council, and the CCM Admissions and Development offices. This position provides high-level administrative support to the Dean of the College of Music in a variety of settings; supports long-range planning, event coordination and critical initiatives; and handles significant writing and editing assignments. This position also serves as the college's Reappointment, Promotion and Tenure administrator. Additionally, this position serves to coordinate the calendar of the Dean and Associate Deans, manage the Dean's tasks, provide meeting support, conduct research in order to provide briefing materials, and work in support of the College of Music's priorities. The Executive Assistant to the Dean also provides administrative support in the area of Faculty Affairs. This position assists the Dean with special projects as needed.

The ability to communicate with a diverse team will ensure success in the role. An ideal candidate will have strong interpersonal and communication skills, as well as excellent organizational and time management skills, to work with and manage multiple tasks across the team. Strong attention to detail, as well as technical, organizational,and collaboration skills, are key to enabling proactive planning, thorough preparation, and professional follow-through. High levels of discretion, tact, and flexibility are critical, as is the ability to meet deadlines, handle unexpected situations, and maintain confidentiality.

Essential Functions

  • Perform responsible administrative staff functions for CCM's Dean, frequently of a confidential nature, concerning administrative activities of substantial complexity.
  • Manage the day-to-day workflow of the Dean (managing the Dean's calendar and task list, keeping the Dean informed of daily messages and events), and function as a gatekeeper to assure prioritization of the Dean's time.
  • Receive and greet visitors in the Dean's suite, providing hospitality when appropriate. Respond to routine & non-routine inquiries regarding College of Music and campus operations, policies and procedures.
  • Serve as Faculty Affairs liaison providing administrative support in the areas including but not limited to Promotion and Tenure, Reappointments, Sabbaticals, Administrative Appointments, Emeritus, and Post-tenure Reviews.
  • Schedule, develop and distribute agendas, maintain rosters, and keep minutes for meetings such as Dean's Cabinet, faculty/staff, college-level committees, and others as needed.
  • Develop an understanding of program goals and priorities of the Dean in order to prioritize issues according to urgency. Advise and assist in policy and strategy formulation as appropriate.
  • Serve as the primary contact for departments and individuals needing to work with the Dean. Forward questions and issues presented by internal and external constituents to appropriate personnel for resolution. Maintain liaisons with designated division heads, department chairs, program directors, committee chairs, and administrators, in addition to external offices and agencies.
  • Communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituents, both verbally and in writing.
  • Prepare briefing materials for the Dean to include collection and preparation of information for use in discussions, meetings and presentations.
  • Provide administrative and technical assistance, including data retrieval and analysis, on a wide range of special projects as assigned by Dean. Occasionally take the lead on special projects.
  • Draft documents, speeches, and correspondence for the Dean; develop and manage a database of contacts, initiatives and assignments.
  • Assist as needed in the planning and implementation of special events for students, faculty, staff, and external constituents.
  • Be a designated procurement cardholder and adhere to college, campus, and system policies related to p-card purchasing, including timely submission of expense reports in Concur.

Required Education

  • Bachelor's Degree in a related field
  • Eight (8) years of relevant work experience and/or other specialized training can be used in lieu of education requirement

Required Experience

  • Four (4) years of experience in a related field. Experience may require one (1) year supervision.
  • Some positions may require experience in university administration.

Additional Qualifications Considered

  • This is an on-site position; daily office presence expected.
  • Experience working in higher education administration, high-level executive support, and/or performing arts administration.
  • Digital literacy with MS Office Suite, with an emphasis on Word, Excel, PowerPoint, and Teams). Literacy with video conferencing.
  • Provide flexibility in assisting with other duties and needs as they arise.
