Overview

Primarily responsible for attending to visitors and dealing with inquiries on the phone and face-to-face providing accurate and courteous communication of messages and information to all internal and external customers. Provides administrative support for the Bereavement department.

The Elizabeth Hospice is San Diego's oldest non-profit hospice of 45 years. We are growing and looking for talented individuals to join our high performing team and support our mission. We serve all of San Diego county and south Riverside county with multiple hospice office locations.

Our Mission: To enhance the quality of life for those nearing the end of life's journey and for those who grieve.

Work Schedule: Monday through Friday, 8:00 a.m.-5:00 p.m.

Salary: $17.00-$22.00 hourly. Subject to experience and qualifications.

Work Location: Escondido, CA.



Responsibilities

    Performs administrative and clerical duties in support of the department, including management of shared files, as well as providing front-desk and phone coverage.
  1. Oversees the Counseling Intake process.
  2. Sets up and coordinates meetings and conferences.
  3. Maintains a calendar of activities, meetings and various events for the Bereavement department; coordinates activities with other departments when needed.
  4. Oversees all departmental mail, including sorting and distributing incoming mail, as well as collects, weighs, and posts outgoing mail.
  5. Receives all checks and cash and processes according to Finance Department procedures.
  6. Triages incoming bereavement calls and/or responds to email or telephone inquiries; provides information as to the type of bereavement services needed (i.e., counseling, support groups, community referrals).
  7. Oversees the counseling intake process, from initial phone call through creation of new client records.
  8. Accepts incoming calls for the Bereavement Team and exercises judgment as to urgency, nature, and confidentiality of call; directs to appropriate staff.
  9. Collects all the initial paperwork for new counseling clients and distributes to the appropriate staff.
  10. Receives visitors and guests, including donors and VIPs.
  11. Provides information on bereavement services.
  12. Ensures the reception area and counseling rooms are neat and orderly.
  13. Coordinates Canterbury administrative volunteers' tasks.
  14. Keeps an inventory and orders supplies for the Bereavement department.
  15. Acts as the secondary contact for Help Desk tickets submitted by staff to IT.
  16. Works with the Bereavement Program Analyst to ensure client data is accurate and professional for bereavement mailings.
  17. Performs other duties as required to meet the needs of the Corporation.


Qualifications

  1. High school diploma or equivalent and 1-2 years of experience in clerical/office setting.
  2. Excellent verbal and written communication skills.
  3. Experience in health care or mental health settings beneficial.
  4. Basic knowledge of computers and relevant software applications (e.g., Microsoft Office).
  5. Requires professionalism and experience to interface with all levels of management and personnel.
  6. Current California driver's license with proof of insurance.
