Summary: The purpose of this position is to provide a broad range of project management, organizational support, and functional coordination of activities for the Medical Affairs Team.
Responsibilities
Essential Duties & Responsibilities:
- Manage assigned projects, including but not limited to planning, executing, and closing to ensure the objectives of the projects are met.
- Creates project planning schedules for inter- and intra-departmental projects.
- Updates, maintains, and distributes status reports as required. Partners with business leads to keep status and next steps completely up to date for all projects.
- Communicates changes, revisions, and approvals to the appropriate members of the team and potential vendors as needed for projects.
- Ensures efficient flow of activities and works with cross company operations team members to gain alignment and develop tools and update processes as needed. This includes the development of templates, slides, and reports to accurately capture key performance indicators.
- Updates and maintains Medical Affairs pertinent documents, ensuring proper formatting and retention.
- Proactively prepares materials for senior level presentations and/or meetings.
- Liaises with PCRC to gain approval for Medical Affairs materials.
- Manages internal alignment within the team and across programs to coordinate and organize activities.
- Represents Medical Affairs in communications with Marketing, Clinical Affairs, Regulatory, Finance, and Sales
- Manages resource allocation and in budget processes for applicable projects
- Communicates regularly with Medical Affairs leadership to ensure activities are aligned with departmental and corporate strategies and objectives.
- Manages Medical Affairs communication flow (from internal and external constituents).
- Oversees meeting planning across Medical Affairs including budget responsibility.
Supervisory Responsibilities: This person has no supervisor responsibilities. Interaction: The incumbent works closely with senior Medical Affairs personnel as well as the most senior leaders in the organization.
Qualifications
Qualifications:
- Bachelor's degree required.
- Minimum of 1-3 years of relevant experience is required.
- Pharmaceutical industry or related experience is preferred.
- Work in the areas of operations, and/or project management a plus
- Demonstrated ability to interact and communicate effectively cross functionally and to lead program with colleagues from all levels of the organization.
- High proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Access)
- Knowledge of document, contract, and PM systems e.g., Ariba, Veeva and MS Project a plus
- Demonstrated high attention to detail and project management skills.
- Excellent oral and written English communication skills.
- Demonstrated excellent organizational, time management, and problem-solving skills.
- Proven ability to work proactively in a fast paced and changing business environment under minimal supervision.
- Proven excellent customer service and interpersonal skills.
Physical Demands: While performing the duties of this job, the employee is regularly required to sit, talk, move between spaces, reach with hands and arms, and stoop. Close vision and the need to focus on computer screen, use of hands, fingers, and wrist to type on keyboard and manipulate mouse. Work Environment: Typical office setting, staff in cubicles, noise level is moderate with consistent printer, telephone ringing and conversation. Employee is located in cubicle setting.
