Position Purpose
The Executive Assistant provides high-level administrative support to the Dean and Associate Deans of the Tuck School of Business. This role is primarily responsible for complex calendar and travel management; meeting, project and event coordination; expense reimbursement and tracking; supporting compliance and accreditation efforts; and maintaining office records and files. The Executive Assistant acts as a key point of contact for internal and external stakeholders and plays a vital role in ensuring the efficient operation of the Deans' Office in alignment with institutional priorities.
Description
The Tuck School of Business seeks a conscientious and detail-oriented executive assistant to manage complex scheduling, travel booking, and other office management and project coordination responsibilities for the Tuck Deans' Office.
Required Qualifications - Education and Yrs Exp Bachelors plus 3-5 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities

  1. Experience and skill providing high level administrative support to a chief executive or senior executive team with a particular focus on calendar and travel management.
  2. Experience and skill in compiling, proofreading, and formatting high-quality materials (e.g., letters, reports, and presentations)
  3. Strong interpersonal skills, sound judgment, and the ability to interact professionally and comfortably with a wide range of constituencies (e.g., students, faculty, alumni, staff, and Deans' Office guests).
  4. Knowledge of operating standards and processes, Microsoft Office software, and video conferencing technology and software.
  5. Strong organizational and time-management skills with attention to detail and accuracy, initiative, and the ability to work independently.
  6. Demonstrated commitment to delivering a high level of service and ability to work with a high degree of tact, diplomacy, and confidentiality.
  7. Able to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow professionals.
  8. Able to anticipate, deliver on, and exceed the service expectations of Deans' Office and other staff colleagues, faculty, students, alumni, and deans' office guests.
  9. Able to build strong relationships with campus partners and collaborate effectively with others to achieve the best possible results or outcomes.

Key Accountabilities


Description
1. Executive Administrative Support:

  • Manages the Dean's calendar, serving as the principal point of contact for scheduling requests with Tuck and Dartmouth colleagues and external constituents; applies awareness of current Deans' Office initiatives and priorities, internal and external relationships, communications and service standards, and personal preferences in scheduling, rescheduling, and confirming appointments; and, proactively resolves calendar conflicts.
  • Coordinates travel arrangements, prepares itineraries, and processes expense reimbursements and expense reports in compliance with Dartmouth and Tuck policies.
  • Provides calendar, meeting, and travel planning, and other administrative support for associate deans and other Deans' Office colleagues as needed and requested.
  • Maintain files and records, both electronic and physical, ensuring ease of access, confidentiality, and adherence to Dartmouth record keeping and archiving protocols.
  • Compile, prepare and organize correspondence and meeting materials, and may take meeting minutes, as needed.

2. Project and Event Coordination:

  • Coordinates scheduling, travel, catering, facilities, and any other logistical arrangements for Deans' Office meetings and events, resolving event-related issues that may arise.
  • Administers and coordinates an array of office management routines, ad hoc tasks, and special projects.

3. Accreditation and Standards Compliance Coordination:

  • In collaboration with the Sr. Associate Dean of Teaching and Learning, the Sr. Director of Academic Operations, and Tuck's Director of Institutional Research, and Tuck faculty, ensures compliance with Tuck's ongoing standards and process reviews for Assurance of Learning. Ensures the completion of Tuck's assessment of students and curriculum objectives, assists with faculty surveys, compiles data and formats reports, and tracks faculty compliance with deadlines.
  • Provides executive support and project management for Tuck's 6-year reaccreditation processes with AACSB, including liaising with AACSB, application submission, and visit coordination.
