Departmental Overview

The Technology Competitiveness and Industrial Policy Center (TCIP) will offer scholarly, technologically informed and data-driven policy analyses and recommendations for accelerating technology advancement, manufacturing, and economic leadership in advanced and emerging technology areas.

TCIP Center aims to be a source of trusted independent scholarly advice to policy makers and lawmakers regarding technology policy development to ensure leadership in technology, research and development, and advanced manufacturing for economic prosperity, national security, and societal wellbeing.

The Administrative Officer will act as a central point of contact and administrative resource for the TCIP Center and related research programs. The position will provide executive-level support to the TCIP Center Leadership (Faculty Director, Executive Director, and Founder), maintain Center and other workspace, and perform tasks related to meetings and events, both on campus and off campus.

Responsibilities

25% Calendar Management and Scheduling: Track and coordinate the Executive Director's schedule. Provide regular updates on calendar events, changes, and conflicts. Confirm calendar event details and participants and prepare and provide in advance relevant materials, including agenda and background information. Coordinate as needed with faculty, staff, students, and others to facilitate teleconferences, group meetings, and events.

25% General Administration: Perform advanced word processing, presentation preparation, and spreadsheet analysis tasks using applications from Microsoft 365, Google Workspace, Adobe Creative Cloud, and other tools and technologies to prepare reports, memos, letters, and electronic mail communications. Maintain online and hard copy filing systems. Prepare and send mailings.

20% Office Administration: Maintain office equipment, order and keep stocked consumable office supplies, and coordinate any other facilities management or purchasing services with the appropriate businesses services unit(s). Monitor meeting spaces, ensuring that they are clean, tidy, and maintained in a state to be used at any time. Maintain kitchen equipment, order and keep stocked kitchen items, and ensure kitchen is clean and tidy. Coordinate and track space assignments and office occupants. Ensure office occupants have all needed equipment, supplies, and materials. Maintain easy and visible accessibility and provide support to workspace occupants, including faculty, students, staff, and visitors. Coordinate with campus facilities staff to resolve issues or provide updates on space and occupants.

20% Meeting and Entertainment Planning and Processing: Arrange and execute business and entertainment meetings and events for the TCIP Center Leadership. Identify and reserve facilities and restaurants, coordinate and place orders with caterers, ensure that all aspects of entertainment follow UC and other policies and procedures, and follow up to ensure that vendors and service providers receive payments in a timely manner. Prepare and disseminate agendas, invitations, and collateral materials in advance, as needed. As needed, participate in meetings and produce and disseminate meeting minutes and other materials. Coordinate and schedule visits with collaborators, including finding accommodations and handling logistics.

10% Travel Planning and Processing: Facilitate scheduling, airline ticket purchasing and hotel accommodations, ensuring that travel is executed efficiently, follows applicable UC and other travel policies, and meets the needs of the traveler. Prepare travel expense reimbursements, ensuring that travel reimbursement requests are submitted in compliance with UC and other policies and in conformance with standard procedures. Monitor travel and travel-related expense reviews and approvals.

Required Qualifications

  • Ability to use sound judgment in decision-making, problem solving, and responding to and resolving issues and concerns.
  • Solid communication and interpersonal skills and the ability to communicate effectively verbally and in writing with all levels of internal employees and external personnel.
  • Strong organizational skills, which includes the ability to multi-task with demanding timeframes and prioritize assignments that may have conflicting deadlines.
  • Working knowledge of common organization-specific and other computer application programs, including Microsoft 365 suite, Google Workspace, and Adobe Creative Cloud.
  • Ability to use discretion and maintain confidentiality in all matters.
  • Bachelor's degree in related area and / or equivalent experience / training.

It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
