Position description
Job Summary:
The Assistant Athletic Director works under the direction of and in collaboration with the Athletic Director in developing and maintaining a comprehensive education-based athletic program that fosters the highest development of students and coaches. The Assistant Athletic Director assists the Athletic Director, playing a vital role in the daily administration and operational management of a comprehensive athletics program for students in grades 6-12. Geffen Academy's highly successful competitive Athletic Program comprises 45 separate teams across 18 different sports and runs year-round. The Assistant Athletic Director meets regularly with the Middle School Division Director, the HR Office, and the Dean's Office to ensure that compliance issues are handled and to establish strong connections concerning the school's mission, vision, and values. Act as the Athletic Director in their absence. Core Function and Duties
- Oversee the maintenance and synchronization of all scheduling via HomeCampus and the School's student administrative portal.
- Run weekly meetings of the Athletic Office staff to ensure operational deadlines are communicated and met.
- Arrange proper coverage for both scheduled and unscheduled absences of department members.
- Verify eligibility for all sports and notifies coaches of ineligible players in conjunction with the Athletic Trainer and the Registrar.
- Communicate effectively with the school community. This includes social media posts, newsletter and bulletin content, as well as athletic-specific emails and push-pages.
- Make coaching assignment recommendations, communicating student progress to relevant student services colleagues, and coordinating department representation at parent evenings and recruitment events.
- Meet bi-weekly with the Student Athletic Council to facilitate leadership and organization across the student body.
- Collaborate with relevant UCLA classroom educators, staff, and administration in devising programs that enable Geffen Academy's students to take advantage of our relationship with a research university operating at the cutting edge of knowledge creation.
- Investigate complaints/issues regarding coaches, student-athletes, and athletic personnel, work with appropriate Geffen Academy personnel as required.
- Monitor and audit personnel time records, ensuring compliance with University policy and procedure.
- Prepare all team celebrations and awards and report athletic achievements to the Communications Manager for school-wide dissemination, and maintain a record of athletic achievements.
- In collaboration with Geffen Academy's Business Office, prepare, implement, and maintain an annual departmental budget.
- Supervise and evaluate coaching staff and athletic personnel, particularly Middle school coaches, ensuring they are performing at the highest level of professionalism and in alignment with the School's mission and values.
- Plan and coordinate all transportation logistics for interscholastic competition and training, including but not limited to: the Middle School Interscholastic Programs,
- Attend all Pacific Basin League Meetings. Attend CIF meetings in the Athletic Director's absence, as needed.
- Complete all scheduling for the Middle School Interscholastic Programs.
- Assist the Athletic Director, the Heads of School, and the Admissions Office in student recruitment activities.
- Recruit and interview candidates for available positions within the department. Work with Human Resources to comply with the university's recruitment and hiring processes.
- In collaboration with the School's administration, promote and lead professional development of the coaching staff, including developing goals.
- Resolve staff problems and provide support to coaches and athletic personnel.
- Continue to enhance the school's relationship with UCLA's Athletics and Recreation departments to foster a sense of community engagement between Geffen Academy and the University.
- Review and revise the coaches' manual annually.
- Ensure the school's records retention requirements are met.
- Develop the agenda for coaches' and parent meetings and attend all coaches' and parents' meetings as required.

Qualifications
Basic qualifications
- Master's degree required. Experience in working with an interscholastic athletic program in an administrative capacity. Experience with coaching in an interscholastic athletic program is preferred.
- Successful track record working with student-athletes.
- Comprehensive understanding of interscholastic athletics, scheduling, staffing, and transportation. Knowledge of CIF regulations preferred.
- Strong background in secondary education with a clear understanding and embrace of Geffen Academy's mission, vision, and values.
- The ability to think and act strategically within a dynamic, fast-paced environment, combined with a strong commitment to providing an excellent experience for each student-athlete.
- Excellent interpersonal, written, and verbal communication skills to articulate and explain instructional issues to colleagues, students, and families.
- Strong leadership and organizational skills with the ability to problem solve and make decisions.
- Ability to maintain confidentiality.
- Must be self-directed, prioritize multiple tasks, and meet deadlines with a keen attention to detail.
- Must be capable of developing and sustaining close, effective working relationships with a wide constituent of stakeholders, including Geffen Academy and UCLA employees, students, and families.
- Proficiency in relevant software (e.g., Microsoft Office Suite, scheduling software, athletic management platforms, Google Suite, Canva).
- Must develop subject matter expertise in UC policy and procedures as they relate to Geffen Academy.
- Flexibility and adaptability, including the ability to function effectively in a demanding environment that may require work outside of traditional hours, including nights and weekends.
