Position Summary

The Nonprofit Support Specialist provides day-to-day operational support and guidance to the Friends and Foundation of the Corvallis-Benton County Public Library. Coordinate and manage the volunteer program for both the Library Department and the Friends and Foundation. Lead community engagement efforts to increase awareness of the library's non-profit groups. These tasks are illustrative only and may include other related duties.


Part-time, 30 hours per week

Essential Functions

Serves as the primary liaison between library patrons, staff, donors, community members and partner organizations and the Friends and Foundation. This may include responding to a wide array of inquiries via telephone and email in a professional and sensitive manner on behalf of the organization. Leads development and solicitation efforts regarding major gifts, estate gifts, memorial/honorary gifts, endowments, bequests, and other special gifts or programs.

Manages and oversees the library and nonprofit's volunteer program, including rebuilding the infrastructure of the volunteer program and bringing Friends and Foundation volunteer practices into alignment with the Library's volunteer program. Recruits and interviews potential volunteers, provides orientation to new volunteers, assists with the volunteer schedules as needed and related record keeping and time tracking.

Steers the Friends and Foundation in building organizational infrastructure, works towards building consensus and consistent board culture, including assisting committees with writing policies and procedures for various activities, recruiting and orienting new board members, and other relevant activities.

Leads community engagement efforts, including creating and composing campaign narratives and messaging and coordinating outreach at events and activities in order to increase awareness of the Friends and Foundation. Attends or presents at various events to connect with potential donors, partners, and future board members. Works with marketing staff, vendors, or board members to create publications, written appeals, annual reports, and other documentation to engage and educate the community.

Seeks out and applies for grant opportunities appropriate to the Friends and Foundation that support their mission. This work also includes making initial contact with the grant organization, composing the grant application, and managing any received grant funding and associated reporting.

Leads, coordinates and executes special events and projects as assigned. This includes organizing large-scale fundraising events, appreciation events for donors, sponsors or volunteers, and/or donor ask events.

Provides facilitation and project management of the strategic plan, communications plan, and fundraising plan for the Friends and Foundation. Collaborates with the board to lead the implementation these plans. Provides additional support in this respect to other non-profits that support the library such as Alsea Community Effort, South Benton Enhancement Association, and the various branch library legacy fund subcommittees.

Creates and runs complex reports from various online donor-data platforms used by the Friends and Foundation and the Library, both manually and using automation tools; transfers and imports data into the Friends and Foundation's donor database; utilizes integrated data for creating outreach lists, reports and presenting statistical information as it relates to donor retention and areas of improvement to the organization. Suggests performance measures of success and related reports to track these metrics to the Friends and Foundation, along with tracking this data.

Attends all meetings of the Friends and Foundation, as well as sub-committee meetings as needed and relevant. Be an active participant in conversation and visioning, as well as recording minutes for all meetings.

Acts as the administrator of the Friends and Foundation website, Google Drive, and digital archives. Updates the website as requested to keep information current, as well as member maintenance of the Google Drive.

Acts ethically and honestly; applies ethical standards of behavior to daily work activities and interactions. Builds confidence in the City and Friends and Foundation of the Library through own actions.

Qualifications and Skills

Education and Experience

Bachelor's degree with a major in Communications, Nonprofit Management, Social or Human Services or related area or an equivalent four years of post-secondary education, training and/or experience providing the knowledge, skills and abilities necessary to perform the essential functions of the position.

Three years of progressively responsible experience related to fundraising, nonprofit operations, building donor relations, and/or campaign planning required.

Knowledge, Skills and Abilities

Ability to get along well and maintain effective working relationships in a team environment with community groups, volunteers and other employees.

Considerable knowledge of nonprofit operational methods and resources or donor development and gift management.

Excellent analytical, project management, research and organizational skills, and the ability to manage multiple assignments and meet deadlines.

Ability to communicate effectively orally and in writing, including public speaking and presenting information.

Ability to maintain confidentiality and exercise discretion and judgment in dealing with sensitive or confidential information.

Ability to use innovative communications tools, technologies and methods including social media networking and a basic understanding of web content creation.

Excellent customer service, problem solving, and presentation skills.

Decision-making, conflict resolution, and negotiation skills.

Ability to use office computer software including email, spreadsheets, database and word processing programs for extended periods of time. Accurate keyboarding ability.

Superior organizational skills and attention to detail.

Special Requirements

Ability to pass a pre-employment background and/or criminal history check

Travel among City worksites and to training/conferences is required.

Possession or ability to obtain and maintain a valid Oregon Driver's License.
