General Job Description: The Human Resources Leave of Absence Administrator, under the direction of the Senior Manager, Compensation and Benefits, is responsible for supporting ACCO's Center of Excellence (COE) and general administration responsibilities as part of the HR Business Partner team. This role will perform daily and administrative functions for ACCO's non-signatory (office) leave of absence and benefits programs, with various related matters that interact with the Payroll and Human Resources functions. This role will interact with ACCO management, employees, brokers, and carrier contacts.

Essential Duties & Responsibilities

This role, under the direction of the Senior Manager, Compensation and Benefits, will administer and communicate the company leave of absence and benefits programs. This role will work with Human Resources leadership to assist all non-signatory and signatory employees in understanding and maintaining their leave of absence options, and all non-signatory employees with their benefits options. This includes maintaining and updating employee and company records; follow-up with employees, managers, and providers; as well as understanding and maintaining compliance with local, state, and federal regulations.

Leaves of Absence



  • Advises Employees, Supervisors, and HR Managers on the organization's leave programs, including maternity or paternity leave, medical or disability leave, military leave, or ACCO-approved medical or personal leave.
  • Coordinates all leave claims or requests submitted through ACCO's Leave Administration Service to update employees' leave status, follow up on eligibility concerns, assists in the communication of alternate work arrangements, and confirms employee return to service or separation.
  • Reviews and reports on leaves and adjusted time, pay, and benefit premiums for the HRIS and/or payroll systems on a weekly basis. Update ACCO's internal systems - HCM, Baby Tracker - with applicable information.
  • Review and respond to all emails in the LOA email inbox, communicate with all employees requesting information on a Leave of Absence.
  • Refer all non-applicable cases to HR Managers, assist in determining the appropriate next steps for all employees requesting non-protected leave.


Benefits



  • Advises Employees, Supervisors, and HR Managers on the organization's leave programs, including medical, dental, vision, life, health savings and flexible spending accounts, and all supplemental benefits.
  • Work with broker contacts, benefits administrator, and ACCO Communications to ensure all Benefits related documents, weblinks, contact information, and content is current, including posted resources on the Benefits Portal.
  • Support the coordination of employee information sessions for New Hired and benefit-eligible transfer employees.
  • Assist with Annual Open Enrollment activities, including scheduling sessions and responding to general inquiries.
  • Coordinate Benefit and Wellness initiatives.
  • Provide excellent customer service support to internal and external customers. Escalate issues to HR Benefits Management and/or Broker as needed.
  • Other duties as requested or required.


Position Requirements:



  • A minimum of three years of experience in Human Resources functions with leave administration responsibilities.
  • Excellent verbal and written communication skills and ability to effectively explain complicated topics to all levels of employees.
  • Excellent customer service skills, with a demonstrated ability to show compassion for employee situations yet still maintain policy and practice standards of excellence.
  • Strong analytic skills to create and maintain metrics, reports, organize projects and maintain schedules.
  • Fundamental knowledge of the DOL, Federal, and State employment laws, FMLA, CFRA, PFL, ACA.
  • Working knowledge of best practices related to Compliance and reporting requirement; Plan administration; Leave Administration.
  • Strong competency working with HRIS data systems and utilization of third-party websites; Microsoft Office Suite, including intermediate to advanced Word and Excel (i.e., spreadsheets, formulas, importing and exporting of files, as applicable)

Hours:

This is an exempt position. Workdays are scheduled from Monday through Friday. Typically, work hours begin and end between 7:00 am and 5:00 pm as scheduled with the position's supervisor. Occasional overtime may be necessary per business needs.

Competitive Wages:
$85,000 to $92,000. Applicants please note that actual compensation is determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location, among others. The offered wage or salary is only one aspect of an employee's total compensation.
