Position Summary The Business Administrative Associate will have the primary responsibility of coordinating the academic, financial and administrative operations for the Departments of Neurology and Neurosurgery and the financial and administrative operations for the Med Peds Program. The incumbent will be responsible for the fiscal, supervisory, and administrative functions of the departments and will serve as an advisor to the Head and Chair. The incumbent functions with initiative and authority under administrative direction of the Head and Chair. The incumbent is responsible for the planning, development, coordination, and implementation of departmental objectives in the areas of fiscal management, faculty affairs, department management, supervision of Neurology/Neurosurgery support staff, and special projects. This position serves as liaison for the Head, Chair and faculty while managing and overseeing the functions of the department. Duties & Responsibilities Oversees the fiscal management of the departments. Develops and manages the budgets for multiple accounts, minimizing/managing expenses and advising the Chair/Head on funding source options. Determines funding of faculty contracts and proposes contract provisions for outside institutions. Advises the Chair/Head on contract development and monetary needs. Develops detailed fiscal reports/analysis and revenue/expense projections for other accounts. Analyzes monthly MSP reports, makes projections, and advises on contracts and future revenue. Reconciles reports and verifies/approves departments' vouchers. Assists the Chair/Head in determining faculty eligibility for payment of variable compensation and monitors the income and expenditures regarding budget limitations. Assists in creating budgets and maintaining documents related to grants and clinical trials. Responsible for P-Card/T-card and TEM transactions for both areas. Maintains an overall awareness and oversees of organizational activities of importance to the Head/Chair and Med Peds, Program departments of Neurology and Neurosurgery; coordinates and expedites necessary actions for success. Serves as a liaison between and a resource for departments and/or the principals, internal staff, students, committees and with other academic and administrative units for the University as well as external units and outside agencies. Answers inquiries and resolves issues that require decision making, knowledge and interpretation of policies, procedures, and the principal's preferences. Responsible for establishing guidelines, implementing actions, and coordinating all clerical functions with full accountability for results and effectiveness. Ensures administrative compliance. Represents the Head/Chair/units at meetings and conferences taking and transcribing minutes as needed. Composes final copy of technical and/or confidential correspondence for Department Head, Chair and faculty. Oversees completion of Annual Faculty Reviews, Annual Vacation and Sick Leave Reports, ARS, RNUA, department annual reports, research reports, inventory, and Statement of Economic Interest letters from staff and faculty members. Anticipates and assists Head, Chair and faculty with calendars, scheduling needs, and lecture preparation. Assumes full responsibility for the preparation and completion of non-salaried and salaried appointments, promotions and credentialing packets/paperwork for the Neurology and Neurosurgery and Med Peds faculty. Coordinates the annual budget preparation for the Departments of Neurology and Neurosurgery and Med Peds. Processes reimbursements via TEM for airfare, per diem, and other travel expenses for department faculty eligible for CME and other reimbursements. Processes publication submissions and professional membership renewals as needed Arranges travel for their Head/Chair and faculty and process related reimbursements. Minimum Qualifications
Preferred Qualifications Prior UICOMP administrative, financial and/or clerkship experience preferred. Excellent organizational and planning skills highly preferred. Attention to detail and accuracy highly preferred. Ability to prioritize, manage and meet competing demands preferred. Ability to manage highly confidential information and files preferred. Ability to embrace virtual learning projects and be open and flexible to new innovations in learning preferred.
