This position is responsible for providing quality administrative assistance to VP Branch Administration Manager and others in Branch Administration, Facilities and Security.

As a Branch Administration Specialist, you will:


  • Retail Based Project Coordination- Coordinating with VP Branch Administration Manager, Regional Managers, L&D, Compliance, and Operations to ensure successful project completion.
  • The ability to think outside the box with creating new ideas for efficiencies. Offering feedback on current systems and presenting new ideas for new procedures and programs being used. Able to accept change in new systems and programs - presenting ideas (Salesforce new account processes, procedures, etc.).
  • Administrative tasks - Assist Mortgage, Sales and Retail Admin with tasks as needed.

    • Organizing projects, scheduling appointments, ordering supplies, prioritizing projects, follow-up with partners, keeping extreme organization amongst people and projects.


  • Security- Coordinates required Security reports, ensuring they are all on SharePoint, completed accurately. Educate employees of discrepancies, look for efficiencies in procedures.
  • Audit - Complete various reports and look for efficiencies within the bank. Help complete end-of-the-month reports and monitor retail items. Schedule all audits with field auditors and ensure issues are cleared with regional follow-up.
  • Facilities - Work with Facilities Coordinator to ensure an up-to-date project plan, vendor contacts, assist with moves, remodels, branch builds, when necessary.
  • Branch Operations - Complete visits for branches as needed. This includes talking with the branch, their manager and their regional about how their branch operates.
  • Work closely with Operations, L&D and Compliance on system issues, testing new procedures and building consistency within retail across branch network.

    • Writing Job Aids and updating/creating new procedures for processes (new and current).


  • Communicating and corresponding with all departments across the board. Making sure all departments are all on the same page with information.
  • Retail Support - Support bankers and tellers with first level questions, coordinating questions with L&D and Compliance Work with L&D to make sure procedures support process.
  • Do monthly reporting for calls, audits, accounts opened, ATM profitability, Teams call support, Salesforce reports.
  • Continue as main support for Armored/Vault services for all branches.
  • Monitor ATM availability, communicate with branches, send service when necessary.
  • Monitor branch equipment cases, inventory, and repairs.
  • Quarterly newsletter.
  • Personal Banking - Serve Operations as their banker on site weekly.
  • Actively involved in community events, volunteer work to positively promote Nicolet while building relationships with customers and prospects.
  • Uphold Nicolet's philosophy and policies by maintaining appropriate controls to ensure full compliance with applicable laws and regulations, thereby fulfilling legal responsibilities and enhancing the quality of services provided by Nicolet.

Qualifications


  • High School diploma required; Associate degree in Administration or Finance or related field of study preferred.
  • 1-3 years banking experience required.
  • Teamwork skills are a necessity.
  • Highly developed attention to detail.
  • Ability to work rapidly and accurately in fast-paced environment.
  • Able to look for efficiencies that would help make the bank run better.
  • Effective verbal and written communication skills and strong interpersonal skills.
