Job Summary |
The Patient Care Specialist (
PCS) must be able to perform all the functions of the Health Center business office, which are divided into three areas: Appointment scheduler, Window Greeter and Check-out Clerk. The Patient Care Specialist rotates weekly and performs the duties for that specific area in the business office. Must be detail oriented with good interpersonal and customer service skills. Must protect and observe patient confidentiality per policies and procedures. Must be able to bend, stoop and lift boxes of files up to 35 lbs. Must be able to walk documents to various locations on campus. |
Minimum Education and Experience |
Two years college in medical or behavioral science and one year experience; or an equivalent combination of education and experience. Previous office experience, preferably in a medical setting. Proficient oral and written communication skills, accurate typing skills and the ability to perform basic arithmetic. Organizational skills and abilities. Consistent accuracy of work. Knowledge of computers and related equipment. Ambulatory Care Clinic experience. |

Two years experience working in hospital, physician office. Current

Essential Duties and Responsibilities |
Window Greeter:
- Greet patients at the office window
- Identifies patients by requesting to see comet card or valid picture ID
- Obtains current patient information from established and new patients
- Accurately enters/updates patient information in Electronic Health Record
- Assists patients with completion of paperwork when necessary
- Notes patient arrival in Electronic Health Record
- Reviews patient Electronic Health Record for needed Health History questionnaire, demographics, consent forms
Appointment Scheduler:
- Identifies patients by
UTD ID, date of birth and name in computer system
- Verifies student is currently enrolled and eligible for services
- Schedules and re-schedules appointments as needed
- Performs prescreening process for appointments
- Creates new account if patient is not in the system
- Verifies Insurance eligibility
- Assembles required medical forms and documents for new and established patients
- Mails No Show letters and makes appropriate notations in the Electronic Health Record
- Scans Health History questionnaire, demographics and consent forms to Electronic Health Record
Checkout Clerk:
- Demonstrates the ability to collect office charges, post charges to patient accounts and accurately manage cash drawer
- Accurately enters procedure codes with correct diagnosis
- Accurately reconciles charges for the day
- Accurately prepares daily deposits
- Takes daily deposits to the Bursar Office
- Schedules follow-up appointments as needed
- Scans all labs, x-ray reports, etc. under the appropriate tab in the Electronic Health Record |

Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the
DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
