Position Summary

The Physician Assistant (PA) Department at Rosalind Franklin University of Medicine and Science is seeking a full-time staff position with primary responsibilities in the PA program's clinical year of training. The Administrative Coordinator provides comprehensive support to faculty, staff, and students in the department to ensure processes are managed, coordinated, and organized efficiently.

The faculty takes pride in educating students through innovative and interactive classroom activities, team-based learning, quality clinical rotation experiences, and state of the art simulation. The interprofessional focus of the PA Program, and throughout Rosalind Franklin University, prepares our students to practice as members of effective healthcare teams in a wide range of medical specialties and settings.

Essential Duties & Responsibilities

  • Database management; manage, track, and update recurring clinical rotation reports.
  • Coordinate, expedite, and prepare all correspondences for clinical year training.
  • Compose, edit, and format a variety of written digital documents and reports.
  • Generate and distribute confirmation/reminder emails to clinical rotation sites.
  • Track and monitor all student, site, preceptor, and program data through established databases.
  • Facilitate background checks of students preparing for clinical rotations.
  • Distribute clinical onboarding information to students prior to the start of their rotations.
  • Develop, monitor, and maintain filing systems for didactic and clinical years.
  • Track preceptor continuing medical education (CME) hours and award certificates upon completion.
  • Track and monitor clinical preceptor board certification and licensure information.
  • Receive, review, and submit clinical year invoices for approval by department faculty and staff.
  • Coordinate clinical year student registration through designated department staff.

Required Education & Experience

  • High school diploma or GED
  • Prior administrative or office experience.

Required Knowledge, Skills, & Abilities

  • Strong computer proficiency in MS Office Professional Suite or Google Suite, and Adobe Acrobat
  • Experience with creating and/or managing databases
  • Excellent communication skills (written, verbal, and interpersonal)
  • Ability to work/interact with diverse populations, showing respect and sensitivity for cultural differences.
  • Ability to exercise independent judgment and initiative, determine priorities, handle detailed tasks with accuracy, handle multiple projects simultaneously, meet strict deadlines and follow through on all assignments.
  • Ability to work independently and as a collaborative team member.
  • Commitment to confidentiality; ability to work with sensitive information, records and reports

Preferred Qualifications

  • Bachelor's degree preferred, or experience or skills commensurate with a bachelor's degree.
  • Evidence of work experience in a medical or higher education setting, health care administration or equivalent.
  • Knowledge and experience in healthcare education, student processes and principles, program design(s).

Typical Physical Demands & Working Conditions

  • Work is performed in a typical office environment and will be conducted in a climate- controlled office with extensive use of computers, telephones and other office equipment.
  • Work is of light physical demand in an office setting with duties performed while sitting, standing or occasionally stooping.
  • Work can include limited travel to clinical sites and/or annual conferences.
