Overall Responsibilities:

The Executive Assistant provides high-level administrative and operational support to the Executive Vice President (EVP) & the Chief Financial Officer (CFO). This role is responsible for ensuring the smooth day-to-day functioning of these executives by proactively managing calendars, communications, projects, and logistics. The ideal candidate is highly organized, resourceful, and anticipatory, with the ability to manage competing priorities in a fast-paced environment.

Education and Experience:
  • Bachelor's degree preferred.
  • Minimum of five (5) years of experience as an administrative assistant or related position required; experience supporting an executive is strongly preferred.
  • Valid driver's license with a clean driving record required.
Required Skills and Abilities:
  • Proven ability to manage complex and shifting calendars with competing priorities.
  • Exceptional time management, prioritization, and organizational skills.
  • High attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Strong editing, proofreading, and executive-level document preparation abilities.
  • Demonstrated discretion and integrity in handling sensitive and confidential information.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Proficient in Google Workspace (Gmail, Drive, Sheets).
  • Experience using Salesforce CRM preferred, including pulling and interpreting reports.
  • Self-starter with the ability to anticipate needs and act independently.
  • Adaptable and responsive to shifting priorities and urgent, last-minute requests.
  • Experience coordinating projects and tracking deliverables and timelines.
  • Strong analytical skills with the ability to prepare data reports, graphs, and charts.
Job Duties and Responsibilities:
  • Manage the EVP's and the CFO's complex and frequently changing calendars coordinating internal and external appointments, resolving scheduling conflicts, and arranging travel accommodations.
  • Prepare and submit executives' credit card reports; review and approve expense submissions from direct reports.
  • Assist with payroll input and approval processes for the direct reports of the EVP and CFO in Bosma's payroll system.
  • Maintain efficient and timely communications on behalf of the executives, ensuring clarity, professionalism, and responsiveness.
  • Draft, edit, and proofread high-quality documents, correspondence, and presentations for both internal and external stakeholders.
  • Maintain confidentiality and demonstrate sound judgment in handling sensitive information and executive-level decision-making support.
  • Create and format documents and reports using Microsoft Word, Excel, and PowerPoint; collaborate with teams using Google Workspace.
  • Generate, analyze, and distribute reports from Salesforce CRM to support planning and performance tracking.
  • Anticipate the needs of the executives by taking proactive steps to support their effectiveness and resolve issues before escalating.
  • Adjust quickly to shifting priorities and manage urgent requests while maintaining high-quality output.
  • Support project coordination by monitoring timelines, deliverables, and milestones; ensure teams are aligned and deadlines are met.
  • Analyze data to develop charts, graphs, and visual reports for presentations and strategic documents.
