Is available 24/7 to assist with any Facility or Property Management related emergencies. This may include coming to site to work with staff and vendors until problem is corrected. A cell phone is provided by Apple to provide for emergency contact. Role: In conjunction with the Director of Facilities Management & Development and following established policies and procedures, supports a variety of both complex and routine facilities management responsibilities for HQ and Branch locations. Collaborates with the Assistant Facilities Managers of Retail Branches and HQ, Manages Utility Spend metrics for all 25 locations, supports management of Facilities Contracts ensuring renewals are up to date and COI's on file. Helps manage the implementation of department seating and floor plan management for newly occupied space (HQ, Branches and other locations as needed). Coordinates building maintenance, furniture repair and issues noted at branch locations. Assists with supervision of headquarters department moves and small scope construction projects under direction of the Assistant Facilities Manager. Provides timely, professional, and courteous internal / external employee/member service in support of JIRA tickets entered for support needs. Coordinates with and assists with oversight / direction of third-party Facility & Property Management services Vendor Partner and related invoicing. Performs duties and responsibilities in accordance with The Apple Way principles, of Team Up, Serving with Purpose, Challenge Yourself and Own It. Remains cognizant of and adheres to credit union policies and procedures, and regulations pertaining to the Bank Secrecy Act. Performs other duties as assigned by the Director of Facilities Management & Development. Essential Functions & Responsibilities:
- Coordinates facilities maintenance and repairs for the credit union headquarters and branches along with delivery of property management services for subtenant. Schedules work with support from Assistant Facility Managers and provides follow through to ensure all work has been completed correctly and in a timely manner. This includes furniture, and office equipment as well as building equipment. Acts as the liaison with building engineer, cleaning and outside repair personnel and vendor deliveries as needed.
- Serves as daily contract and vendor liaison for Facilities & Property Management related contractors. This includes review and approval of work performed, review and approval of invoices and evaluates alternative vendors where appropriate.
- Co-Manage and Oversee the maintenance of existing service contracts. Makes sure all contracts are up to date and helps to prepare RFPs when contracts are to be rebid under the direction of the Director of Facilities Management and Development.
- Reviews and recommends to the Director/Assistant Facilities Managers any suggested new service contracts and agreements.
- Supervises department moves and relocations. This includes working with Business Technology Department to ensure all equipment is properly relocated. Supervises movers and furniture technicians. Ensures post move completion all work meets company standards.
- Manages and as needed provides administrative support on credit union building projects. This includes meeting with architects and contractors, scheduling of outside vendors, obtaining furniture proposals for projects.
- Ensures the Review all facility related invoices for accuracy and to insure timely payment. Helps track missing or misappropriated vendor payments.
- Assists in tracking operating expense budget for all credit union locations. Reports on trends and preforms due diligence to help mitigate cost overruns as directed.
- Coordinates work as needed with Risk Management on alarm and access control needs in the for both HQ and branch locations. Works with Risk Management to identify alarm events and support maintenance and repair of security equipment.
- Assists in the coordination of new branch construction. As needed, attends construction meetings, coordinates scheduling of Apple's own vendors to work on the project. Assists in the preparation for the final opening of the site to assure all equipment, furniture, security devices, etc. are installed and operational.
- Performs scheduled inspection s of HQ & Other Apple locations checking for safety, cleanliness and any maintenance issues.
Experience:
- Minimum of 5 years of hands-on Facility Management coordination experience.
- BS in related field preferred
