Position Summary

The School of Engineering is seeking an experienced Unit Administrator I to work in our new Research Support Office (RSO). The RSO will support all pre- and post-award duties for all Category 2 research centers in the School, as well as all complex and/or large research awards that academic units do not have the bandwidth to administer. The Research Support Office will report directly to the SoE Associate Dean for Research and Innovation, and will be managed by a Program Operations Director, to support the Center for Water and the Environment, the SouthWest Environmental Finance Center, COSMIAC, and the Manufacturing Training and Technology Center. Research expenditures for these units for FY24 were close to $20M.

The Unit Administrator will perform a variety of HR, accounting, budgetary, and administrative duties. Given the rapid growth of the research centers that the RSO supports, the Unit Administrator must be able to work in a dynamic and fast-paced environment, be independent, self-motivated, detail-oriented, a quick learner, and able to adapt to new situations. The Unit Administrator will be supported by the administrative and accounting staff in the RSO and be part of a team with that staff.

We are looking for someone who has experience hiring excellent research faculty, staff and students, but can also support purchasing, timekeeping and a variety of post-award accounting functions. Higher ed experience is desirable but not required. DUTIES AND RESPONSIBILITIES:

  • Provides customer service to a broad range of constituents
  • Tracks and routes customer inquiries through ticketing systems, databases, and/or other applicable processes.
  • Provide administrative support to include processing of PCard purchases, purchase orders, invoices, journal vouchers, and reimbursement documents.
  • Prepare and process bi-weekly timesheets, monthly leave, expense sheets, and payroll (labor redistributions/ EPAF) entries.
  • Process all HR actions for all student employees, graduate assistantships, as well as research staff and faculty hires. This includes hiring in UNMjobs, and other actions via ePaf and paper actions.
  • Make travel arrangements and assist with event planning for seminars and workshops.
  • Prepare routine spreadsheets and monthly account reconciliations with oversight and direction from the RSO accounting team.
  • Perform basic accounting functions at the direction of RSO accounting team such as salary redistributions, internal budget revisions, and 90-day memos.
  • Provide assistance to the RSO accounting team with monitoring UNM reporting systems including MyReports and Banner reports.
  • Serve as the shipping/mailing point of contact.
  • Perform miscellaneous job-related duties as assigned.

Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Experience with P-card purchasing and reimbursements and knowledge of Chrome River system processes.
  • Experience with student hiring (student employment and graduate assistantships).
  • Experience with UNMjobs for faculty and staff hiring for research.
  • Knowledge of UNM Inventory.
  • Event planning experience to include catering.
  • Experience with travel booking and reimbursements for faculty, staff and students.
  • Prior experience with time entry via PHATIME as either a Timekeeper or Time Approver.
  • Experience with Banner and MyReports.
  • Experience performing multiple duties and ability to prioritize work assignments.
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
  • Strong organizational and follow-up skills.
  • Proficiency with the Microsoft Office suite.
  • Experience with conferencing software like Zoom, Microsoft Teams, etc.
  • Ability to coordinate and organize meetings and/or special events.
  • Ability to work independently; self-starting and motivated.
