CNB is looking for a qualified, motivated, and client- and team-focused individual to join our team as an Executive Assistant. This position will be ON-SITE in our Hillsdale, Michigan Main Office location.

JOB SUMMARY

Responsible for assisting President & CEO, Board of Directors, and other executive management, as needed. Maintains confidential files, compiles Board and other special reports, arranges meetings and appointments. Keeps official corporation records and helps to ensure compliance with executives' administrative policies. Prepares and/or retains records, such as notices, minutes and resolutions for shareholder, director meetings, and other meetings. Works independently and schedule may require occasional evening and weekend work.

DUTIES

* Handles daily correspondence, examination reports, and other correspondence as needed.

* Works with President & CEO and other members of management on outside organizational responsibilities and special projects, as needed.

* Serves as Administrator of BoardVantage.

* Coordinates and/or distributes materials and prepares minutes for various committee meetings, including, Executive Leadership, and Management Committee, etc.

* Prepares and distributes board reports, maintains board report records for historical purposes, maintains policy review schedule and submits to Board and Audit Department.

* Coordinates and maintains various records of the directors and officers:

o Financial Statements as needed.

o Statement of Interest of Directors & Officers of National banks.

* Maintains and communicates director committee assignments:

o Loan Committee - annually

o Board Committees - annually

* Coordinates the collection of MiBankPAC dues from officers and directors.

* Plans and prepares for the annual shareholders meeting; also acts as host or hostess for guest shareholders and obtains signed Director's oaths.

* Performs outside errands for the President & CEO and Directors.

* Provides services as a notary and signature guarantee.

* Assists Executive Leadership and Management in various capacities.

* Maintains strict confidentiality of all information acquired while performing job tasks.

* Maintains regular, on-time attendance.

* Remains current in assigned training and continuing education for designation retention (online, video, in-house emails, telephone seminars, etc.)

* Complies with all regulatory requirements including Bank Secrecy Act and all others specific to their position.

* Performs other various duties as assigned.

CONTACT WITH OTHERS - INTERNAL

* Communicates on a regular basis with the President & CEO.

* Communicates frequently with the Board, and other officers and associates of the Bank.

CONTACT WITH OTHERS - EXTERNAL

* Communicates on a regular basis with the Board of Directors, Shareholders and clients.

* Communicates periodically with individuals meeting with or calling on the President & CEO.

SKILLS

* College degree in Business/Finance is preferred; otherwise, must have a combination of applicable education and experience.

* Minimum 3 years of banking experience.

* Passion for providing a stellar client service experience to all clients (external and internal) and ability to instill this passion in others.

* Excellent interpersonal skills (tactfulness, cooperation, courteousness and client friendliness) are necessary to represent the bank in a positive manner.

* Positive and cooperative approach when working with others.

* Excellent written communication skills with demonstrated ability to write clearly, concisely and effectively, with attention to detail for visually appealing output and accurately proofreading publications.

* Excellent verbal communication skills with the demonstrated ability to effectively present information to clients and management.

* Strong administrative skills with effectiveness in developing tasks and managing resources to achieve multiple project targets/goals.

* Ability to work in a fast-paced environment and positively adapt to routine changes while maintaining high performance standards.

* Ability to work independently as well as collaboratively within a team environment.

* Ability to maintain confidentiality and handle sensitive information.

* Knowledge of basic accounting procedures.

* Ability to efficiently and accurately keyboard information, both computer and calculator.

* Strong computer skills with a proficiency in MS Word, Excel and Outlook.
