Job Summary:



The University of Colorado School of Medicine seeks a full-time Business Services Manager to join its dynamic Office of Medical Education (OME), which includes the Undergraduate Medical Education (UME) MD program, Graduate Medical Education (GME), Office of Research Education (ORE), CAPE Simulation Center, Medical Scientist Training Program (MSTP), Continuing Medical Education (CME), and other educational programs. Reporting to the Program Director of Finance and Administration, this pivotal role provides strategic and operational leadership across key business areas including staff supervision, financial planning and analysis, procurement, contract management, and scholarship administration.

The Business Services Manager will oversee and develop financial reports, lead process improvements, and ensure compliance with university policies while fostering a high-performing team that delivers exceptional service to OME faculty, staff, students, and partners. This individual will independently lead initiatives across operations, finance, procurement, contracts, and scholarships, effectively communicating findings and influencing diverse stakeholders through presentations and reports. Supervision Received: Reports directly to the OME Program Director of Finance and Administration.

Supervision Exercised: This position supervises three (3) full-time exempt professional staff. May manage additional direct reports through time and as the business requires.

Key Responsibilities:

OME Business Services Supervision & Operations



  • Supervise and support a team of three or more full-time exempt professionals, including hiring, onboarding, training, workload management, performance coaching, and leave administration.
  • Foster a collaborative, customer-focused team environment through clear communication, high service standards, and effective leadership through organizational change.
  • Collaborate across OME teams to support organizational goals and contribute to planning, reporting, and documentation in coordination with the Program Director of Finance and Administration.
  • Identify and implement process improvements to enhance operational efficiency, including the development, management, and auditing of standard operating procedures (SOPs), while ensuring effective communication and stakeholder engagement.


Procurement, Invoice and Contracts Management



  • Oversee procurement and contracting processes, ensuring staff are well-trained, workflows are efficient, agreements are properly executed, and expiring contracts are proactively managed.
  • Approve financial transactions, including requisitions, invoices, reimbursements, and journal entries, while guiding staff on best practices for tracking, reconciliation, and accounts receivable management.


Financial Management



  • Support the development of the OME annual budget and labor planning process in collaboration with the Program Director of Finance and Administration and HR partners.
  • Train business services staff and stakeholders on financial reporting and regularly review financials to ensure transparency and informed decision-making.
  • Oversee financial transactions, including journal entries and funding distributions, ensuring accuracy and compliance with university policies and procedures.
  • Maintain and apply working knowledge of key financial systems (CU-SIS, HCM, and general ledger) to support data analysis, reporting, and variance analysis for strategic financial planning.
  • Maintain accurate records to support accreditation, audits, and compliance with university policies.


Scholarships



  • Oversee the full lifecycle of scholarship administration, including staff training, process documentation, accurate tracking and reporting, and collaboration with Advancement to support donor stewardship and respond to inquiries.




Work Location:



Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings. Additional on-site days may be required as needed. Please see the campus-wide policy for additional information.

Qualifications:



Minimum Qualifications:



  • Bachelor's degree in Finance, Accounting or Business Administration from an accredited college or university.
  • At least 5 years of professional experience working in finance, accounting or a directly related role which includes at least one year of managing professional full-time staff.


A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:



  • Master's degree in Business Administration, Management, Finance, Analytics or related field.
  • Experiencing managing complex teams and guiding others through change.
  • Experience with the University of Colorado systems, policies and procedures.
  • Experience analyzing, preparing and presenting financial data.


Knowledge, Skills and Abilities:



  • Ability to effectively manage and build a cohesive and collaborative team.
  • Impeccable analytical skills.
  • High level of professionalism and discretion in handling sensitive and confidential data.
  • Ability to establish and maintain effective working relationships with constituents throughout the organization.
  • Outstanding customer service skills.
  • This individual must be able to work effectively and in a professional manner with university and school leadership, faculty, staff, residents, students and the community.
  • Demonstrated commitment to work with individuals from various backgrounds and who have different work styles.
  • Advanced level/skill in Microsoft Office (Excel, Access, Outlook, Word). Working knowledge of PowerBI a plus but not required.

Anticipated Pay Range:



The starting salary range (or hiring range) for this position has been established as $75,642 - $96,217.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
