Job Description:
- The purpose of this position is to maintain the office organization of the MCC Southern Lakes Branch Center (SLBC) and ensure the daily operation for serving students, faculty, staff, tenants and guests in both credit and non-credit activities that meet the College's quality standards.
- Position functions as an Assistant to the SLBC Site Manager is accountable for the overall intake processing of students, including admissions, registration, monitors inventory of office materials, Initiates and processes all purchase requisitions, POs, DVPs, LPOs, BPOs, and printing requisitions for the Southern Lakes Branch Center.
- This employee will participate in a team environment that involves presenting a warm and inviting atmosphere for the Center.
- As a secondary point of contact for SLBC, this position works as an integral team member along with the Site Manager.
- Due to the nature of this position, off-site employees must be knowledgeable of all aspects of the College environment.
Role & Responsibilities:
- Greet students, faculty, staff, tenants, and visitors.
- Answer phones and direct phone call to the appropriate person or area.
- Make phone calls to current, potential and stop out student to schedule next steps.
- Help students through the enrollment process including admissions and registration.
- Non-credit students to be handed to Workforce Development & Economic Development staff.
- Report any issues or concerns that have been reported to the front desk for maintenance, safety , security, etc.
- Monitor supplies and notify Site Manager when supplies are running low.
- Keep front lobby welcoming and replenish candy, snacks, and water as needed.
- Demonstrated ability to efficiently organize and manage large amounts of complex information, attention to detail, and well organized.
- 1Ability to work successfully in a high stress environment, handling multiple tasks and duties simultaneously.
- Ability to appropriately use and demonstrate proficiency at the intermediate level with MS Word and Excel and at the basic level with PowerPoint.
- Ability to speak clearly and communicate proficiently in English.
- Ability to work successfully in an environment without detailed direction and in the absence of Manager makes decisions as appropriate.
- Ability to maintain confidentiality on all information regarding student, staff and faculty communications and personal information.
- Perform other appropriate duties as assigned by Site Manager.
Minimum Requirements:
- Two years of clerical/secretarial or office managerial experience in an educational institution of similar size and complexity.
- Prior experience working in school accounting, business and/or registration areas.
- Experience using Datatel.
- Additional experience beyond the minimum.
Required Skills:
- Flexible schedule to include some evening and weekend hours, to meet operational needs.
