Job Title: Benefits Administrator

Reports To: HR Operations Manager

FLSA Status: Non-Exempt

Location: Seattle, WA

Salary: $60,000 - $75,000 ($28.85 - $36.06 per hour)

Summary

The Benefits Administrator provides essential support for the administration of Manson's benefits and leave programs, with a focus on day-to-day processing, employee service, and HRIS data management. This role reports to the HR Operations Manager and works under the direction of the Senior Benefits Specialist, who serves as the functional team lead. While the Administrator owns key administrative processes such as COBRA, leave tracking, and benefits billing, they take guidance from the Senior Benefits Specialist to ensure alignment, consistency, and high-quality service delivery. This is a detail-focused, employee-facing position that offers exposure to wellness, compliance, and systems projects, with room to grow.

Essential Duties and Responsibilities:



  • Coordinates and tracks employee leaves of absence (FMLA, ADA, disability, parental leave), ensuring documentation is complete and accurate; escalates complex cases to the Senior Benefits Specialist as needed
  • Processes benefit transactions in the HRIS and ERP systems, including enrollments, terminations, and life event changes, ensuring data integrity across payroll and vendor systems
  • Responds to employee and manager inquiries regarding benefit eligibility, claims, leave requests, and general plan provisions, providing high-quality service and escalating policy-related questions appropriately
  • Administers COBRA processes, including sending timely notifications, reconciling enrollment files, and coordinating with third-party administrators under the guidance of the Senior Benefits Specialist
  • Assists with open enrollment by coordinating logistics, preparing materials, answering employee questions, and entering employee elections; supports post-enrollment audits and file review in collaboration with the Senior Benefits Specialist
  • Partners with internal stakeholders and external vendors to resolve issues related to enrollment, eligibility, payroll deductions, and benefits claims
  • Performs audits and reconciliations of benefits data, payroll deductions, and vendor file feeds; flags discrepancies and supports resolution
  • Reconciles benefits invoices and vendor billing statements; identifies discrepancies and partners with payroll and vendors to ensure timely and accurate payment processing
  • Assists in the implementation and ongoing development of a new HRIS system, including testing, data clean-up, and process documentation
  • Maintains accurate records and documentation for benefits, leave, and compliance purposes; assists with preparation of audit materials and regulatory filings as directed
  • Supports the development and delivery of benefits communications and employee education materials led by the Senior Benefits Specialist
  • Participates in wellness, communication, and process improvement initiatives as assigned
  • Perform other duties as assigned.
  • Ensures compliance with Manson's Code of Ethics and Standards of Business Conduct.
  • Maintains a high standard of ethical behavior, encourages ethical behavior in others, supports ethical decisions and actively seeks appropriate resolution to potential ethical conflicts.
  • Responsible for practicing safe work standards and promoting an Incident and Injury Free (IIF) work environment as a condition of employment.


Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The qualifications listed below are representative of the knowledge, skill, and/or abilities desired in candidates.



  • 2+ years of experience in employee benefits administration, HR operations, or a related HR support role
  • Familiarity with FMLA, COBRA, HIPAA, ACA, and other relevant compliance regulations; knows when to escalate complex or sensitive issues
  • Experience using benefits administration platforms (e.g., BenefitFocus, ADP, Workday); HRIS or ERP system experience (e.g., CMIC) preferred
  • Proficiency in Microsoft Excel, including pivot tables, VLOOKUPs, and data formatting
  • Experience reconciling benefits billing statements or vendor invoices preferred
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred
  • Delivers accurate, timely work with strong attention to detail and data integrity
  • Communicates clearly and empathetically with employees, vendors, and team members
  • Demonstrates professionalism, discretion, and integrity when handling sensitive information
  • Manages multiple tasks and deadlines effectively in a fast-paced, team-oriented environment
  • Takes initiative in learning systems and improving benefit-related processes

This position is primarily an in office-based role out of Seattle, WA.

Physical Demands

Minimal travel is required for this position. Position is primarily an office position, performs work at a desk. The employee is frequently required to sit for extended periods of time. Employee must be able to wear the personal protective equipment (PPE) in order to conduct job site visits (hard hats, personal floatation devices, safety glasses, gloves, safety-toed shoes, respirators, etc.), and be able to navigate stairs, ladders, gangways, and to board, work on, and disembark floating vessels and structures.
