POSITION SUMMARY

We are seeking a highly organized, detail-oriented Engineering Administrative Assistant to support our Engineering Department through a combination of project coordination and administrative excellence. This hybrid role blends the strategic support of an Engineering Coordinator with the operational efficiency of an Administrative Assistant-ideal for a proactive professional and passionate individual about keeping complex projects on track.

We are seeking a detail-oriented and highly organized professional to support our Engineering and team in a hybrid role that blends project coordination with administrative support. This position will help ensure that facility maintenance activities and capital projects stay on track by managing schedules, tracking progress, and facilitating communication between departments. At the same time, the role will oversee essential administrative tasks such as data entry, filing, billing, purchasing, and vendor coordination for the Engineering Department. The ideal candidate is equally comfortable managing complex project details and handling day-to-day administrative operations, with a strong focus on keeping the team running smoothly and efficiently.

ESSENTIAL DUTIES
  • Assist in the management and tracking of capital projects, ensuring adherence to schedules and budgets.
  • Assist in the development of Requests for Proposals and other project related documents.
  • Facilitate site visits, tours, and scheduling for contractors.
  • Develop and present detailed analyses of bids for capital projects.
  • Coordinate communication between engineering teams, clients, vendors, and cross-functional departments.
  • Support project planning, milestone tracking, quality, and deliverable management.
  • Manage calendars, schedule meetings, and correspondence in support of the Engineering Department.
  • Maintain organized digital and physical files, including engineering drawings, reports, permits, and bid specifications.
  • Provide administrative support for the Engineering Director.
  • Assist in the management of RFID key control systems.
  • Assist the Engineering Director in developing and monitoring department budget including utilization of funds.
  • Coordination of Vendor requirements and facilities access for all vendors.
  • Prepare reports, presentations, and technical documentation as required to support Departmental needs.
  • Track project-related expenses, process purchase orders, and manage invoices.
  • Track purchases and reconcile payments for both SSRC and HOA, as applicable.
  • Ensure project and maintenance documentation is up to date and in compliance with quality standards and regulatory requirements.
  • Ensure engineering office supplies, tools, equipment, and software are well maintained.
  • Assist in budgeting and procurement of departmental supplies, tools, and equipment.
  • Liaise with internal teams for procurement, IT, and facility needs as they relate to engineering operations.


REQUIRED QUALIFICATIONS
  • 2+ years of experience in a similar administrative or project coordination role
  • Exposure to or experience in engineering or construction environment is highly desireable
  • Communication: Excellent written and verbal skills for interacting with technical and non-technical teams.
  • Organization: Strong ability to multitask, manage competing priorities, and maintain order in a fast-paced environment.
  • Technical Aptitude: Familiarity with engineering principles and terminology; experience with platforms like Smartsheet, Bluebeam, or similar is a plus.
  • Problem Solving: Resourceful and proactive in identifying issues and finding timely solutions.
  • Customer Service: Courteous and professional demeanor in client- and vendor-facing interactions.
  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Project management software (e.g., MS Project, ProCore, etc.)
  • Document management systems


EDUCATION REQUIREMENTS
  • High school diploma or GED equivalent


The base hourly pay range below represents the low and high end of the Steamboat Ski & Resort Corporation's hourly pay range for this position. Actual pay will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Steamboat Ski & Resort Corporation's total compensation package for employees. Other rewards may include many region-specific benefits.

Steamboat Springs area base hourly pay range: $20.72 - $27.56 per hour

PHYSICAL REQUIREMENTS
  • Must be a Minimum of 18 years of age
  • Must read, write and communicate verbally in English in a clear and professional manner
  • Must use a telephone headset for extended periods of time
  • Expected to sit and input data into the computer while listening/talking to guests for extended periods of time
  • Comfortable working in a noisy (vocal) environment
