Nissha Medical Technologies is hiring for an Executive Assistant to assist and support the President/CEO of Nissha Medical Technologies. They will provide administrative support and act as a liaison with internal and external people in contact with the President/CEO and will provide additional administrative support to the CFO, CIO, General Counsel and Executive Leadership team.

Essential Job Functions include

  • Consistent use of discretion, confidentiality, and sensitivity in performing the duties of the position. Responsible for initiating and responding to questions and requests from outside contacts.
  • Provide support to the President/CEO including transcribing written and dictated communications, assisting creating and finalizing presentations, managing NMT CEO Choice Award, handling mail packages, assisting with personal errands including meal pickups, maintaining monthly calendar, and coordinating both business and personal travel arrangements.
  • Open, sort, prioritize and distribute incoming mail, including composing responses. Correspondence may include extremely confidential and highly sensitive materials. Provide assistance whenever possible during absence of manager(s).
  • Initiate and handle routine matters and files including follow-up file and correspondence for President/CEO.
  • Provide telephone coverage at all times for President. Be sensitive to the impact and image projected to people inside and outside of Nissha (social media).
  • Responsible for and manage Company Travel Program. Coordinate all aspects of travel for Executive team (air, hotel, dining reservations, car service and recreation). Create extensive travel itineraries. Manage agreements with corporate travel partners and maintain travel policy compliance.
  • Concur Expense Report Program Administrator. Create profiles for new employees and assist with employee inquiries. Manage account with Director of Finance.
  • Responsible for completing W9 and Certificate of Insurance requests and forwarding any tax requests to proper personnel.
  • Responsible for completion of Gaming Applications. Maintain existing gaming licenses and complete applications for new business. Organize, locate and forward requested information and required fees to appropriate department. Follow up on result of application. Create and organize license files.
  • Coordinate onsite/offsite meetings (planning, logistics, itineraries, catering, all aspects of travel and attendee confirmation). Assist in organizing annual sales & marketing meeting, department conferences, onsite customer visits and intercompany meetings.
  • General administrative tasks include the ordering of office supplies, FedEx materials, coffee, employee business cards and business lunches.
  • Manage company sports tickets for the Bills, Sabres and Bandits. Organize schedule for the year, distribute tickets for each game and coordinate raffles for tickets given away.
  • Support requests from international entities including signature/legal document requests, NDA/DocuSign support and travel assistance.
  • Maintain a level of personal integrity, appearance and behavior toward others which is a positive influence and establishes high standards for individuals throughout the organization.
  • Other special projects as assigned by the Executive Team.
  • Notary highly encouraged and/or willing to become one.


Preferred Knowledge, Skills, & Abilities required

  • Excellent verbal, written, and interpersonal skills: articulate, professional in appearance and work habits
  • Ability to work independently; to grasp instructions quickly and thoroughly; to manage priorities of managers of different disciplines; and to know when to seek help. Well organized and able to work under deadline pressure and disruptive conditions
  • Ability to represent Nissha and Senior Executives with tact and maturity when interacting with people of all levels both within and outside the Company
  • Ability to relate to executive office environment and people
  • Experience planning meetings and making travel arrangements in a cost-effective manner
  • Flexibility to handle various assignments
  • Flexibility to work with other executives and their attendant variations in work styles
  • Typing 65-70 wpm. To include word processing, transcribing and copy machines; calculator, general office and secretarial procedures. High proficiency in transcribing and typing with minimal error is required. Attention to detail is extremely important. Knowledge of various computer programs i.e. Microsoft Office (Word, Excel, Power Point, Access), Outlook, and the Internet


Nissha Medical Technologies is committed to fair, competitive, and market-informed pay for our employees. The pay range for this position is $70,000-90,000 Annual (USD). The successful candidate's particular combination of knowledge, skills, and experience will inform their specific compensation.
