About the Role
The Executive Assistant provides administrative and project support to the President & CEO, and assists the SVP, Finance as required. Responsibilities include daily operations, complex travel and schedule coordination, handling confidential matters, and facilitating communication internally and externally. The role requires efficiently managing multiple priorities in a fast-paced environment as a reliable and trusted partner. Performs a broad range of support duties as outlined below. Responsibilities
- Manages complex Outlook calendars, schedules, and email communications.
- Independently composes and prepares correspondence and presentations.
- Prepares and designs reports, presentations, spreadsheets, graphs, charts, and other document types in accordance with corporate brand guidelines.
- Creates and maintains databases and spreadsheets.
- Prepares and submits expense reports within required timeframes.
- Arranges complex domestic and international travel plans, itineraries, and agendas, and managing costs as needed.
- Handles incoming calls, responds to inquiries, and escalates matters when appropriate.
- Coordinates and manages meetings (domestic and international) with key stakeholders.
- Collaborates with the leadership team to keep them informed of upcoming commitments and responsibilities.
- Schedules recurring meetings, prepares and distributes meeting materials, coordinates technical and catering arrangements, attends meetings, and prepares minutes. Provides follow-up after meetings as necessary.
- Assists with departmental budget preparation.
- Performs research, gathers data, and prepares reports as needed.
- Supports event planning and logistics, including cultural and wellness initiatives.
- Organizes and maintains filing systems.
- Serves as a liaison across internal teams and external stakeholders on behalf of the CEO.
- Completes other assigned duties.
Required Qualification & Skills
- Associate's or Bachelor's degree in Business Administration preferred.
- Minimum 5-7+ years of experience supporting C-Suite leadership.
- Advanced proficiency with technology systems and MS Office applications, specifically Outlook, Word, Excel and PowerPoint, and Concur.
- Flexibility to adapt to shifting priorities and occasional non-standard working hours.
- Exceptional interpersonal communication skills.
- Ability to multi-task, manage competing priorities, and work efficiently.
- Ability to develop processes or procedures to assist in organizing data.
- Excellent problem-solving skills and ability to work independently and within team.
- Ability to work under pressure with tight deadlines in a fast-paced and demanding environment with internal and external stakeholders.
- High level of professionalism, integrity, and discretion in managing highly sensitive and confidential information.
- Domestic and international travel required, up to four times per year, with each trip lasting approximately one week.
