The Office of Undergraduate Admissions generates, reviews, and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff, 45-50 part-time/temporary staff, and 150 student staff. Staff work locally and regionally throughout California and the nation. The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees. JOB SUMMARY

Under the general supervision of the Senior Associate Director Visitor Experience & Technology, the Campus Tours Coordinator oversees the general operations of the tours program, participating in daily tour management, helping to develop and improve virtual tours, helping to plan and implement annual campus tour events and tour guide recruitment, hiring, training, and assessment. The incumbent communicates with various internal and external partners to assist with the management of the logistics of many types of visits of varying size and scope. These visits will include daily on-campus tours, school and community-based group tours, ADA compliant tours, virtual tours, and tours for VIP's visiting the UCSC campus. The position liaises with contacts at high schools, community colleges and community-based organizations to understand the needs of different visiting student groups and tailor the tour's experience to fit their needs. The incumbent also works closely with the Outreach, Recruitment and Yield team, within Admissions, to assist with the coordination and implementation of on-campus tours. The incumbent recruits, trains and supervises the tours' student workforce called Student Life and University Guides (SLUGs). As a part of this process, the position develops recruitment and hiring practices to ensure campus tour guides reflect the diversity of the campus. The incumbent plans and implements trainings for the student workers, develops training materials and assessment tools to ensure SLUGs readiness to lead tours. Additionally, the role develops and implements a mentoring program to increase guide retention and makes recommendations for improvements to the Campus Visits Program. The incumbent will be quick on their feet, takes initiative and will be a problem solver. The incumbent will use data-driven strategies to assess the effectiveness of the various tours given on campus and uses that information to suggest improvements and implement changes. The incumbent will work under general supervision, own their work, multitask and see assigned projects through to completion. A successful incumbent will possess a startup mentality, passion and the tenacity for making UC Santa Cruz relevant to the world.

APPOINTMENT INFORMATION

Budgeted Salary: $69,000 - $75,750/year. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

40% - Operations

  • Oversees daily operations of Campus Visits Program.
  • Coordinates all in-person and virtual tour logistics and responds to needs and inquiries (phone, mail, email, in-person) directed to campus tours.
  • Manages student work schedules, and resolves all scheduling challenges to ensure campus tours take place as scheduled.
  • Oversees the use and maintenance of web-based tour platforms, including: online reservation programs, Zoom sessions, and the Admissions CRM tool, SLATE.
  • Identifies new technology and tools that will improve the operations of the campus tours program.
  • Establishes and maintains relationships with campus partners related to the maintenance and operations of these web-based platforms.

30% - Student Supervision & Training

  • Recruits, hires, trains, and supervises student workers within the Undergraduate Admissions tours program.
  • Plans and implements regular training for Student Life and University Guides, developing training materials, mentorship programs, and assessment tools to ensure Student Life and University Guides are ready to lead tours.
  • Works with the Admissions staff to carry out special assignments and projects involving campus tour guides.
  • Ensures that all requisite hiring policies and procedures are followed and that the tour's student worker group reflects the diverse student body of UCSC.

15% - Outreach and event collaboration

  • Contributes to the development of new outreach and yield efforts as they relate to tour development and coordination.
  • Plans and manages all campus tour logistics for outreach and yield events (on campus and virtually).

10% - Student and parent outreach

  • Serves as primary liaison for prospective students and parents when they visit the campus.
  • Makes presentations as needed and provides in-depth information to prospective students and their parents on admissions requirements, prerequisite major courses, programs, curricula, and financial aid criteria in school and community-based organization settings.
  • Coordinates and oversees scheduling of on-campus admissions presentations and informational sessions for campus tour guests.
  • Delivers presentations as needed.

5% - Application assessment

  • Uses extensive knowledge of department requirements and applicant pool to assess the applicants' overall record and experience for final admissions determination and recommendation.
  • This includes assessing frosh and transfer admissions applications and performing course-by-course evaluations for transfer credits.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and/or equivalent experience/training.
  • Experience in recruitment, motivation, goal setting and evaluation of student staff or similar populations.
  • Experience supervising, training and developing staff, preferably student staff.
  • Experience with the online UC A-G Course List and ASSIST transfer student information resource.
  • Experience with tours program logistics or similar functions.
  • Knowledge and experience using standard computing tools including Microsoft Office applications, on-line databases, email, and web-based research tools.
  • Excellent verbal communication skills with the ability to provide and receive clear, concise information, and to effectively communicate and present complex, technical information in professional settings with co-workers, prospective students, their families and the general public.
  • Excellent written communication skills.
  • Ability to work under the pressure of immediate deadlines and constantly shifting priorities.
  • Knowledge of project management including program design, implementation, and evaluation.
  • Outstanding organizational skills to establish priorities, handle large workloads, evaluate outcomes, and manage multiple activities to meet unit, campus, and system-wide goals and deadlines.
  • Strict attention to detail.
  • Ability to analyze data, including return on investment, in order to assess the efficacy of outreach and recruitment programs.
  • Thorough knowledge and experience working with a diverse student population.

PREFERRED QUALIFICATIONS

  • Working knowledge of Oracle/PeopleSoft Campus Solutions system and CRM Systems, as well as other student-based computing environments.
  • Thorough and comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs at colleges/universities and specifically at UC, and/or specific colleges and schools.
  • Knowledge of languages in addition to English, both oral and written.
  • Knowledge of UC admissions practices and procedures, including undergraduate evaluations and transfer credit policies.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
