Job Summary:

The University of Colorado School of Medicine's Office of Medical Education (OME) is seeking a detail-oriented and growth-minded individual to join the OME Business Services team as an OME Business Services Support Professional (BSSP). This entry-level role offers hands-on experience in administrative and business operations while supporting a wide range of medical education programs, including the MD, MD/PhD, and biomedical PhD programs, as well as Continuing Medical Education and the Center for Advancing Professional Excellence (CAPE).

The BSSP will assist with finance and procurement tasks such as purchasing goods and services, processing payments, and supporting travel arrangements using university systems like CU Marketplace, Concur, and procurement cards. They will also guide staff on using travel booking tools and contribute to broader business functions over time, with opportunities for professional growth and cross-functional learning.

Supervision Received: Reports directly to the OME Business Services Manager.

Supervision Exercised: No direct supervision is employed. Must be able to provide professional and effective customer services to Faculty, Staff and Students.

Key Responsibilities:

Student Purchases & Reimbursements

  • Manage student special project applications, budgets, and maintain accurate tracking tools (e.g., spreadsheets and Smartsheets).

  • Collaborate with student awardees to guide purchasing procedures and ensure compliance with university policies.

  • Process purchases for student projects using procurement cards or e-procurement systems; submit and support purchase order requests.

  • Monitor and report on project budgets and progress; compile and submit annual reports in coordination with students, business services team and leadership.

Procurement Support

  • Interpret and apply university policies related to procurement, consulting with the business manager as needed for accuracy.

  • Guide OME staff on procurement card use, official function forms, and best practices aligned with university procedures.

  • Submit and track requisitions, support contract and purchase order processes, and ensure compliance through collaboration with the business services team.

  • Make purchases using a university procurement card and reconcile expenses to appropriate accounts; assist with reviewing pre-approval forms as needed.

Travel Arrangements & Travel Guidance

  • Coordinate and book travel for OME leadership and faculty using the university's travel system (Concur), ensuring compliance with all policies and procedures.

  • Support travel card reconciliation and maintain accurate records by submitting monthly expense reports and organizing travel documentation.

  • Develop tools and resources in collaboration with the OME Business Services manager-including templates, tip guides, and communications-to assist faculty, staff, and students with travel planning and expense processes.

Additional Responsibilities: Gift Card Program and Scholarship Cycle Management

  • Support the Office's gift card program by guiding users through request, tracking, and close-out processes while ensuring compliance with university policies.

  • Maintain organized records and provide reports for auditing and oversight in collaboration with the OME Business Services Manager.

  • Support the annual OME scholarship cycle by setting up opportunities in Scholarship Universe, coordinating committee reviews, preparing materials, and generating award letters using mail-merge.

  • Support other ad hoc projects or tasks, as requested. Participate in professional development for growth and career development.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings. Additional on-site days may be required as needed. Please see the campus-wide policy for additional information.

Qualifications:

Minimum Qualifications:

  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Prior experience in higher education as a teaching assistant, student worker, or administrative professional.

  • Prior experience supporting procurement or travel arrangements in a professional setting.

  • Prior experience adhering to and communicating about policies and procedures.

  • Familiarity with entry level functionality in Microsoft Word and Excel.

Knowledge, Skills and Abilities:

  • Ability to communicate clearly, both in writing and orally.

  • Ability to analyze and interpret data and perform basic mathematical calculations.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $49,973 - $63,566.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
