The Department of Disability and Psychoeducational Studies (DPS) in the College of Education (COE) welcomes applicants for the Part Time (20 hours a week) position of DPS Program Coordinator. We are seeking a highly motivated, self-directed, innovative, and experienced program coordinator to join our dynamic admin team.

This position involves multifaceted responsibilities, requiring organizational skills, attention to detail, excellent writing and verbal communication skills, problem-solving abilities, collaboration, the ability to work independently within a team, and efficient management of diverse tasks to ensure the smooth operation of the academic department.

This position will provide administrative oversight and support for the Deaf/Hard of Hearing (DHH) and Visually Impaired (VI) graduate programs within the Department of Disability and Psychoeducational Studies (DPS).

Duties & Responsibilities

Duties and Responsibilities:

  • Oversee and provide administrative support for the DHH and VI programs including accreditations, coordinate the scheduling of student admissions interviews, coordinate new faculty candidate interviews and visits, Taskstream, organize program events such as faculty retreats and student orientations.
  • Provide support to prospective graduate student questions, and concerns regarding application processes/timelines including completion of admission requirements and enrollments, scheduling Comprehensive Exams.
  • Coordinate the scheduling and proctoring of Arizona Braille examinations for teaching certification applicants.
  • Attend Department, College, and Program meetings as required.
  • Process and submit financial transactions in a timely manner and within university policies: vendor payments, PCard purchasing and reconciliations, purchase orders, reimbursements, travel authorizations and travel reimbursements as needed.
  • Collaborate with the program and DPS administrative team (e.g.,Program Directors, Business Manager, Faculty, Department Head, Lead Program Coordinator, Program Coordinators, and Student Workers). In addition, collaboration with the units within COE and UA administrative units.
  • Maintain current knowledge of the Department, College of Education, UA, and policies, procedures, and guidelines.
  • Program data management: tracking enrollment, attrition, graduation, student status, etc.
  • Create and manage data required for program accreditation, approval, and grant reporting using data management tools such as Qualtrics, Box, Microsoft Products, etc.
  • Assist with the purchase of program-related materials (assessments, instructional curricula, instructional material, etc.) and maintain inventory records (i.e., student check out and returning of equipment and materials).
  • Assist with the College of Education convocation in Fall and Spring.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively with different groups/individuals.
  • Ability to handle confidential and sensitive information.
  • Ability to streamline multiple timelines and projects.
  • Ability to manage projects to meet project specific deadlines.
  • Excellent writing and verbal communication skills.
  • Proficient in University of Arizona's UAccess systems.
  • Effective organizational skills, problem-solving abilities, attention to detail, and the ability to work independently within a team are essential.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience
Preferred Qualifications

  • Experience working with grants and grant management teams.
  • Experience working in Special Education programs.
