Position Summary
The HR Officer (Workforce Operations Specialist) plays a key role in ensuring the smooth and efficient functioning of workforce processes within the organization. This position supports various aspects of timekeeping, benefit usage analysis and adjustments, compliance monitoring, and auditing. The Workforce Operations Specialist works collaboratively with HR, department leaders and employees to facilitate accurate and timely workforce-related transactions.

Duties & Responsibilities

  • Responds to inquiries about payroll and benefit information or procedures.
  • Prepares and analyzes reports for time and attendance and benefit usage.
  • Prepares and reviews payroll reports for compliance with policies and procedures.
  • Serve as primary contact for issues related to time and attendance and benefit usage.
  • Researches and analyzes discrepancies in HR related data (time and attendance, benefit usage, HRFE job setup, Kronos employee setup, and leave of absence coding) and process appropriate corrections. Process adjustments and personnel change requests.
  • Provides information, assistance and training to employees, staff departments; provides technical and procedural assistance to staff and trains on timekeeping policies and procedures; answers employee and staff questions during time and attendance editing and check processing periods.
  • Collaborates with assigned departments to ensure that timecards are reviewed and approved in a timely manner. Prepares compliance reports related to timecard approval and adjustment volume.
  • Completes bi-weekly two-day process for CALC processing, gathering hours from time & attendance system, making corrections and sending complete payroll file to campus payroll for payment.
  • Conducts bi-weekly and end of year audits such as overtime hours, hours worked for FTE, and benefit hours.
  • Compile and update weekly separation and transactional change reports. Represents HR department in Hospital meetings regarding payroll and benefit practices and procedures.
  • Performs other related duties and participates in special projects as assigned.

  • Minimum Qualifications

    1. High school diploma or equivalent.
    2. Any one or any combination totaling three (3) years (36 months) from the following categories:
      1. course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
        • 30 semester hours equals one (1) year (12 months)
        • Associate's Degree (60 semester hours) equals eighteen months (18 months)
        • 90 semester hours equals two (2) years (24 months)
        • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
      2. progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.
