We are seeking a highly organized and proactive Travel Coordinator/Office Administrator to manage day-to-day office operations and provide essential administrative support to our team in multiple locations. The ideal candidate will possess excellent communication skills, be technology savvy, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
  • Providegeneral office support, assisting in maintaining a productive and efficient work environment, and coordinating with various departments as needed.
  • Arrange travel for staff deploying worldwide, with urgency and compliance with government requirements.
  • Serve as one of the administrators for the travel platform (SAP Concur) for new account assignments and coordination with Concur-Omega customer service.
  • Assist travelers with filing complicated expense reports for both travel and other expenses.
  • Maintain a corporate purchasing card, track charges, and reconcile on a monthly basis.
  • Manage office supplies and inventory, including ordering supplies and snacks to ensure the office is well-stocked.
  • Answer and direct phone calls, emails, and inquiries to appropriate staff members.
  • Schedule and coordinate meetings, conference room use, appointments, and site visits for staff and visitors. Coordinate visits from Executives and other critical visitors, to include coordination with local management and Security.
  • Assist in the preparation of transactiondocuments, which may include invoices and accounts payable (A/P) processes.
  • Coordinate office maintenance, repairs, cleanliness, and vendor relationships.
  • Arrange for visitor accommodations and support, ensuring a welcoming environment for guests.
  • Work with HR or other administrative team members to coordinate site events and activities, sitting on the corporate Events Committee.
Qualifications:
  • High school diploma or equivalent; an associate or bachelor's degree in business administration or a related field is highly desired.
  • Must have prior travel coordination and advisory experience, especially for international destinations. Experience working for a travel agency or within the government contracting community would be ideal.
  • Must have prior experience processing high-volume expense reports.
  • Proven experience as an office administrator or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (e.g., printers, copiers).
  • Experience with travel software, such as SAP Concur, is preferred. Previous experience with SAP Concur is not mandatory, but demonstrated experience learning and administering similar systems and processes is required.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills. Willingness to teach, coordinate, and assist others.
  • Ability to work independently and collaboratively within a team.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Ability to lift up to 20 lbs preferred, but a reasonable accommodation will be considered.
  • A minimum security clearance of SECRET is required, with the ability to obtain TS/SCI.
