We are seeking a highly organized and detail-oriented Project Administrator to support the successful execution of airport and aviation-related design and construction projects. This role requires A/E/C experience and focuses on managing project documentation, coordinating administrative workflows, and supporting construction administration activities. This position bridges office-based administration and document controls with construction support and assists the Principal in Charge with ensuring all project processes are executed accurately, efficiently, and in alignment with contractual requirements and client expectations.

Responsibilities:

- Provide administrative and organizational support to the Principal in Charge throughout all phases of the project lifecycle

- Assist Principal in Charge and consultant team with design and construction administrative activities

- Manage project documentation and workflow between owners, architects/engineers, and consultant team using platforms such as e-Builder, Newforma, and Bluebeam

- Maintain organized digital and physical project files, including agreements, correspondence, RFIs, submittals, reports, meeting minutes, drawing sets, etc.

- Coordinate meetings and presentations, prepare agendas and distribute follow-ups, lead and track RFI and submittal review processes to ensure timely responses, and ensure compliance with contractual obligations

- Support all incoming and outgoing communications in a timely manner

Qualifications:

- Minimum three (3) years of A/E/C experience in project coordination or construction administration, preferably on airport or aviation-related projects

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Bluebeam, and project management platforms

- Demonstrated ability to manage multiple priorities with accuracy and efficiency in a fast-paced, deadline-driven environment, while working independently with minimal supervision

- Strong understanding of administrative documentation, workflows, and quality assurance practices

- Self-driven and capable of working independently and collaboratively, with strong communication skills across all levels

- Excellent verbal and written communication skills, with a professional demeanor and strong phone etiquette

- Highly organized with strong attention to detail and consistent follow-through

- Must be legally authorized to work in the United States for any employer without sponsorship
