Job Description

Summary

The Security Systems Coordinator is part of the facility and planning team and provides support to professional staff and the campus community. This position maintains all department key and card access inventories and records all keys/card access to staff, outside contractors/vendors and guests. This position edits and maintains door access programs to ensure appropriate interior and exterior access is granted to students, staff and visitors. The role also maintains all camera request needs, related file storage/sharing and security reports, as well as advises on camera and security system infrastructure needs and maintenance. This position assists with work order management, data reporting and some project coordination. The role serves in an after-hours call rotation for door access needs.

The Security Systems Coordinator coordinates and communicates with a number of campus partners and external contractors/vendors and has a moderate level of direct student contact. The role requires data analysis and problem-solving skills. This team member often handles student information and is involved in sensitive situations requiring discretion and confidentiality.

Essential Functions

  • Facilitate and track hard key operations. Manage monthly building key inventories and individual inventories with full-time staff. Oversee University Apartment key distribution and inventories. Initiate lock core changes and lost key protocols.
  • Facilitate day-to-day operations electronic lock door access programs for both interior and exterior doors.
  • Trouble-shoot access issues for students daily.
  • Coordinate and advise on door hardware updates and rekeying needs.
  • Initiate and track ADA accommodation work and resources related to door access.
  • Ensure corrective measures for door access concerns are initiated, coordinated and addressed and that appropriate communication with stakeholders and customers takes place.
  • Develop and implement access codes for guest service needs, including for camps and conferences. Create and maintain all camp/conference access cards. Assist with system programming needs.
  • Serve in an after-hours call rotation for door access needs.
  • Set triggers and changes in the door access system to assist with a variety of occupancy needs.
  • Monitor and evaluate security systems (both door access and camera). Develop and implement reporting to help identify problems with door access and camera functions, as well as student and staff access issues.
  • Compile and analyze data pulled from various reports for the door access and camera systems to provide information and guidance for departmental decisions.
  • Help develop policies and procedures related to security functions and equipment.

Additional Responsibilities

  • Assist with developing project and maintenance needs based on information gathered through the operation of door access and camera systems.
  • Assist the facilities, planning and design team by managing work orders for, developing, coordinating and communicating about projects. Develop work lists associated with projects, timelines and other project coordination details.
  • Manage data for the work order and housing systems, space utilization and other resources as needed.
  • Review camera footage and door access data to create reports that will assist department staff, MUPD, the Office of Student Accountability & Support and other campus partners with incidents that include insurance claims, human resource concerns and student/staff policy violations.
  • Coordinate with campus colleagues to gather information on key watcher boxes, other campus door systems or other campus cameras to support reporting and documentation needs.
  • Assist with billing and insurance documents as needed.
  • Perform other duties as assigned.
Shift

40 hours per week, 7:30 AM - 4:30 PM Monday through Friday

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

This position serves in an on-call rotation to assist students and staff with after-hours door access issues.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Demonstrated experience in security systems and/or data management.
  • Advanced skills in Excel
  • Understanding of facilities/maintenance projects
  • Detail-oriented and highly organized.
  • Excellent customer service skills
  • Willingness to do what is necessary to make the team successful.
Anticipated Hiring Range

Range: $17.05 - $24.00 per hour; paid on a bi-weekly basis.
