Position Summary

The Office of Advising Strategies is seeking an energetic, detail-oriented, and highly organized Administrative Coordinator to help us advance student success across campus. This position plays a key role in supporting our programs, projects, and day-to-day operations.

This position will work alongside our diverse set of specialized areas that serve the advisement and student success community. This requires a range of skills and a knowledge of organizational policies and procedures. The successful candidate will support and spend time at both the Transfer and Transition Student Center (Bldg. 85) and the Testing and Training Center (Casas del Rio). Regardless of location, our work will always focus on student success.

What You Will Do:

Administrative and Executive Support

  • Manage calendars, travel, calls, correspondence, and confidential records
  • Greet and triage students and visitors at the front desk, referring them to appropriate resources
  • Serve as the primary liaison with internal and external contacts; coordinate meetings, events, and special projects

Office Operations and Resource Management

  • Oversee day-to-day office logistics including tracking, requisitions, purchasing of supplies and equipment, and facilities
  • Maintain databases, files, and departmental records
  • Monitor accounting activities and assist with budget planning

Project and Process Coordination

  • Support project development and implementation related to academic advising, retention, and student engagement
  • Prepare reports and documentation
  • Ensure efficient organization and communication within the office

Fine Print:

  • This position is not eligible for remote/hybrid work schedules for at least the first year.
  • The current schedule for this position is M-F, 8-5 with the possible exceptions for flex on a case by case basis.

Conditions of Employment
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Outstanding communication skills - verbal and written
  • Experience providing administrative support and management of confidential materials
  • Experience working in an office setting
  • Experience with or the ability to quickly learn university financial systems and procurement practices, including PCARD, purchasing, Chrome River and travel processes
  • Proficiency or advanced skills with Microsoft Office Suite, including Word, Excel and PowerPoint
  • Experience scheduling and coordinating complex meetings
  • Excellent interpersonal, teamwork and problem-solving skills
  • Experience working in a fast-paced environment while maintaining accuracy and professionalism.
  • Background in higher education
