About the Job

Reporting to the CFO, the Accounting Manager supports UMAA by managing financial transactions, accounting, and reporting, as well as the financial processes and systems for the organization. As a separate legal entity, financial activities include an independent audit and government filings. As a related organization to the University, activities include alignment with University finance and human resources requirements where applicable. The position supports the CFO in financial planning and budgeting. The Accounting function includes part-time support from a Finance Specialist and 1-2 part-time accounting student workers.

Essential Functions*:

Financial accounting, reporting and compliance (80%)

  • Review and approve A/R, A/P and payroll journal entries. Prepare other journal entries for review by CFO.
  • Manage cross-company transactions with University of Minnesota through University's Electronic Fund System (EFS). Act as liaison to University personnel on accounting questions and issues.
  • Manage financial information exchanges between systems such as Shopify (for retail) and University of Minnesota Foundation's system (for contributions and investments).
  • Perform monthly close processes including monthly bank account reconciliations, and reconciliation of subsidiary ledgers (AP/AR/EFS) to the general ledger.
  • Maintain documentation to support account balances in statement of financial position (Balance Sheet) and statement of activities.
  • Prepare and distribute monthly financial statements for management. Support preparation and distribution of quarterly financial information to Board of Directors and Board Committees.
  • Coordinate and perform fiscal year-end accounting procedures and closing processes. Prepare documents for annual audit and work with auditors.
  • Work with UMAA leadership and staff to ensure the financial information is understood and meets their needs.
  • Work with staff to develop budgets and forecasts; monitor financial activity relative to budget.
  • Monitor cash balance and requirements; initiate transfers from investments and University funds.
  • Coordinate preparation of IRS Form 990 and other annual tax and statutory filings with accounting firm. Provide financial information as needed.
  • Complete annual IRS forms 1099 and 1096, Federal and State quarterly estimated UBI tax payments and annual MN Sales Tax report.
  • Serve as a liaison with external vendors and departments with invoices and billings.
  • Adapt accounting and reporting processes as needed to adhere to any changes in accounting standards.
  • Work with CFO and staff to ensure there are appropriate internal controls.
  • Act a back-up for time-sensitive accounting duties performed by Finance Specialist during absences.

Payroll and human resources (10%)

  • Assist staff with hiring, including job postings and search committee support.
  • Process changes to employee records in University of Minnesota system, including hiring, terminations, salary adjustments and other documentation.
  • Manage employee records held at UMAA.
  • Connect staff with appropriate University human resource support to address HR-related questions, FMLA leave, and other needs.

Other Functions:

Other duties as assigned (10%)

  • Manage postage account balances and transfers.
  • Work with the manager of the Minnesota Alumni Market to reconcile financial information and oversee sales tax reports.
  • Provide support to CFO for Board of Directors and Finance/Audit Committee materials and meetings, and occasional HR and IT related activities.
  • Provide support at major UMAA events.

Qualifications

Minimum Qualifications:

  • Bachelor's Degree in accounting, finance, or related field with four years of professional finance or accounting experience, or eight years of equivalent education and experience .
  • Proficient with spreadsheets (MS Excel, Google sheets) and word processing software (MS Word, Google doc).
  • Proficient in at least one accounting system.
  • Detail oriented and able to enter data accurately and efficiently.
  • Able to work independently.
  • Strong organizational skills. Able to prioritize tasks effectively and meet accounting and compliance deadlines.
  • Orientation toward continuous learning and process improvement.

Preferred Qualifications:

  • Proficient with Microsoft Dynamics GP and/or at least one cloud-based accounting system beyond Quickbooks.
  • Experience with nonprofit and/or government accounting.

Pay and Benefits

Pay Range: $75,000 - $85,000; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
