Come talk to us about joining the Centerstone team! JOB DESCRIPTION: SUMMARY OF POSITION The Office Manager will be a key member of the Steven A. Cohen Military Family Clinic at Centerstone in Manhattan, Kansas. The Office Manager will report to the Clinic Director and oversee clinic and financial operations. The Steven A. Cohen Military Family Clinic at Centerstone is an outpatient behavioral health facility located in Clarksville, TN. The clinic is comprised of a multidisciplinary team of psychologists, licensed clinical social workers, case managers, and veteran outreach workers. The clinic offers high quality, evidence-based, and personalized outpatient mental health treatment tailored to meet the specific needs of veterans, particularly those from the Iraq and Afghanistan wars, and their families. The clinic is part of a partnership between Centerstone and the Cohen Veterans Network, a national nonprofit (501c3) network of clinics. ESSENTIAL DUTIES & RESPONSIBILITIES
- Ensure that the clinic is in compliance with Centerstone of Tennessee's policies and procedures regarding fiscal and clinical operations including, but not limited to, applicable licensure requirements and CARF accreditation standards.
- Work as the liaison between the Cohen Veterans Network and Centerstone related to any specific facilities needs.
- Assist in management of the clinic's fiscal operations (i.e., budgeting, accounts receivables and payables, reconciliations, financial reporting, revenue collection, etc.).
- Work with the Billing Coordinator and Clinic Director to coordinate the managed care billing process, managing local relationships with the Centerstone and Cohen Veterans Network billing team and ensuring that the clinic is in compliance with contractual and reimbursement policies.
- Work with the Billing Coordinator, the Centerstone credentialing team and the Clinic Director to coordinate the credentialing of each clinician (CAQH) for 3rd party insurance.
- Assist clients with billing-related matters, and assist clients and/or staff in resolving insurance-related problems/questions.
- Establish policies and procedures (conforming with CTN policies and procedures) regarding facilities compliance, risk management and business continuity
- Collaborate with clinic staff and the Cohen Veterans Network around all office management and facilities needs.
KNOWLEDGE, SKILLS & ABILITIES
- Must been able to work independently and as part of a team, anticipate problems and generate solutions and demonstrate flexibility and sensitivity when engaging with staff and clients.
- Accounts payable and receivable management skills.
- Proficient using Microsoft Excel, Word, and Power Point and historical use of electronic health systems. Proficiency in navigating and learning technology is preferred.
- Demonstrated success establishing relationships with customers, members of the community, and supervising team members is preferred.
- Excellent written and oral communication skills; ability to digest and distill complex subjects into clear messages.
- Demonstrated ability to leverage the strengths of diverse teams (both internal and external), coach, mentor, and hold a team accountable to achieve results.
- Proven capacity to listen actively and synthesize multiple pieces of disparate information into a coherent vision that aligns with the organization's strategy.
- Ability to juggle multiple tasks to drive results on multiple important projects simultaneously.
- Demonstrated experience working successfully within a highly collaborative and collegial organization. Comfort in rolling up one's sleeves and engaging in day-to-day operations.
- Passion for and commitment to the clinic's mission and that of the larger CVN network.
- Ability to maneuver through complex situations effectively. Plans appropriately to seize potential opportunities and avoid potential conflicts in service of realizing overarching goals.
- Ability to review, and manage budgets. Budget Development and budget management skills.
QUALIFICATIONS Education Level Bachelor's degree or demonstrated progress toward a bachelor's degree from accredited college or university is required. Four years of relevant experience will be accepted in lieu of the degree. Years of Experience
- At least 3 years' experience in managing the business office components of business operations
- Experience working with 3rd-party payers, coding, billing, posting, and adjudication of claims preferred.
- Experience collecting, analyzing and reporting financial data preferred.
- Demonstrated knowledge about the appropriate and effective management of protected health information, the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the Health Information Technology for Economic and Clinical Health Act required.
- Prior experience within the military community and/or veteran administrative organizations preferred
