Position Summary We are seeking a detail-oriented and process-driven Contract Specialist to join our corporate Legal & Risk Department. This individual will be responsible for facilitating and maintaining the contract lifecycle for company agreements through Ironclad, our contract lifecycle management system, and assisting with contract processing and review, generally. The ideal candidate will support day-to-day contract activities, ensure compliance with company standards, and play a central role in contract organization and execution across multiple branches. Key Responsibilities
- Collect and manage contracts, agreements, and supporting documents from various branches, obtaining input from other departments as needed, identifying missing documents and collaborating with submitting party to obtain same, and uploading documents in Ironclad and other databases, as needed.
- Tag clauses and metadata in Ironclad and other databases to optimize searchability and compliance tracking.
- Assist with onboarding subcontractors by verifying information including, but not limited to, insurance coverage, licenses, and business registrations.
- Facilitate and ensure operational workflows including drafting, issuing, obtaining signatures, and archiving documents for all company agreements, including, without limitation, non-disclosure agreements, change orders, customer contracts, vendor contracts, subcontracts, work orders, and any other agreements or documents to be reviewed, processed, or stored as needed by the company for its operations.
- Generate and run reports from Ironclad and other databases as requested to track contracting trends.
- Liaise with staff from multiple departments and locations who submit documents for legal review or agreement generation to gather information and resolve documentation issues.
- Serve as a first point of contact for questions and issues about use of Ironclad for all company users outside of the Legal & Risk Department and resolve issues with Ironclad support as necessary.
- Maintain an issue log and track frequency and downtime of the Ironclad platform.
- Assist with developing and implementing playbooks for contract reviews, non-disclosure agreements, vendor contracts, and other materials as needed by the company for its operations.
- Ensure use of the CLM system is in compliance with company policies.
- Prepare presentation materials, outlines, and summaries as requested based on contracts submitted, stored, or processed by the Legal & Risk Department.
- Collaborate within the Legal & Risk Department to draft contract addenda and modifications as needed.
- Participate in the development and implementation of standard processes and training materials for contract centralization.
- Support ongoing improvements to contract workflows and documentation accuracy.
- Maintain high levels of organization, confidentiality, and attention to detail across all contract-related activities as well as any information learned through your involvement with the Legal & Risk Department.

Qualifications
- Strong reading comprehension and language skills.
- Highly organized and process oriented.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and ability to work cross-functionally.
- Comfortable learning and using contract management tools (Ironclad experience is a plus but not required).
- Ability to work independently while recognizing when to seek guidance.
Preferred Qualifications
- Bachelor's degree in Business, Legal Studies, or related field preferred.
- Experience working in legal, compliance, or administrative contract roles is a plus.
- Familiarity with contract lifecycle management software or corporate legal workflows.
- Exposure to construction or subcontracting environments is beneficial.
