Job Description Summary

The Executive Administrator in Northern California and Colorado offices assists in creating optimal work environments, ensuring the administrative integrity of the offices' operations, and supporting a culture that values productivity, collegiality and work-life balance.

The Executive Administrator carries out most aspects of the offices' administrative support, database management and procurement. S/he/they will also serve as the point of contact for the services provided through the Enterprise-wide support departments (such as Contracts and Finance, and Information Technology). The person will be based in Northern California's San Francisco office and manage matters related to the facilities. The ideal candidate will be proactive, have a willingness to learn, an excellent ability to manage time, prioritize tasks, anticipate needs and act independently, and take direction from senior staff who have different roles and responsibilities.

The Northern California office is based in San Francisco with a satellite home office in Stockton. The Colorado office is based in Denver. The teams is comprised of approximately 30 people total. This is a hybrid position that includes three (3) days in our San Francisco office and two (2) remote days per week.

Job Description

Responsibilities:

  • Office Services. Foster a customer service-oriented culture while executing administrative support.

  • Meetings. Manage scheduling for the Vice Presidents and periodically assist other Senior staff with theirs. Responsible for the execution of select meetings (internal, external, in-person and virtual) and special events held on and offsite.

  • Communications. Assist and sometimes coordinate the vendor relationships related to the production of communication and marketing, fundraising and special event materials for programs. Develop and maintain a fully functional partner database. Assist in creating and editing PowerPoint and other communication materials -coordinating with our national comms team as needed.

  • Budget and Contracts. Works closely with Columbia, MD-based Finance and Contracts department to manage select financial activities, including accounts payable, 2-6 expense reports, contracts and donation processing in accordance with organizational policies and established internal controls. Manage vendor contracts that relate to office services, fundraising events, and the facilities management budget (such as headshots, food delivery, event collateral).

  • Special Projects. In coordination with the team, assist with the coordination of onboarding new staff. Support Development Directors with fundraising events as they arise. Participate in special projects as needed such as assisting with communications or program execution tasks with senior staff.

  • Facilities Management. Oversee the smooth functioning of physical and virtual office environments serving staff and visitors. Manage the purchasing and maintenance of office equipment, office supplies and any capital improvements for the office. Develop and maintain optimum vendor relationships. Oversee coordination with the national IT department to meet technology needs of the offices.

Qualifications:

  • Undergraduate degree in related field required

  • Four (4) years' experience in an administrative role required

  • Previous experience with a nonprofit, public sector, or corporate entity preferred

  • Office and project management skills

  • Working knowledge of MS Office Suite -MS Word, Excel, Outlook and PowerPoint.

  • Self-starter who takes initiative with what needs to get done

  • Judgment to develop and modify standard methods and techniques

  • Organizational skills and ability to coordinate activities prioritize conflicting demands and meet deadlines.

  • Demonstrated habit of accuracy and reliability in a fast paced environment.

  • Diplomacy, composure, flexibility, and ability to adapt to a variety of situations.

  • Ability to work independently, solve problems and take responsibility for moving tasks forward with minimal supervision.

  • Ability to seek out relevant information prior to making timely decisions

  • Must have knowledge of commonly-used concepts, practices and procedures related to office management.

  • Experience with a team and/or office of a similar size or more.

  • Strong organizational skills and ability to coordinate activities prioritize conflicting demands and meet deadlines.

  • Must be highly motivated and be able to work independently.

  • Must possess strong written and oral communication skills, with the ability to communicate effectively without constant supervision.

The base salary for this role is $60,000 to $88,500, depending on level of skills and experience.

The salary range for this position is represented by the low and high end of the range for the amount to be paid for the position. Salaries paid at Enterprise will vary based on factors that may include skills, education, location, experience, and performance. The salary range is just a part of the total rewards package provided to employees at Enterprise, and other rewards may include annual performance bonuses and generous paid leave programs.
